You will own the operational backbone of Hiya's recruiting function as a Talent Operations Specialist. This is an individual contributor role with significant ownership and cross-organizational visibility—not a full-cycle recruiting position, but rather a program management and operations-focused role.
Key responsibilities include:
**Global University Recruiting Program Management**: End-to-end planning, relationship management, and execution of the global university recruiting program, including career fairs, campus partnerships, internship pipelines, and recruiting events. Some travel required to support on-campus programs.
**Scheduling & Interview Coordination**: Own scheduling and coordination across all open roles and recruiting projects, managing complex multi-stakeholder interview logistics with high accuracy and candidate experience standards.
**Ashby (ATS) Ownership**: Serve as the company's Ashby expert, managing workflows, templates, data integrity, and reporting. Partner with Recruiting Ops to continuously improve system support, including evaluating and implementing AI-powered tools for scheduling, sourcing, and candidate communication.
**Candidate Experience Management**: Ensure positive, engaging, and consistent candidate experiences from initial contact through final offer, with transparent communication and timely feedback.
**Stakeholder Management**: Partner with hiring managers, recruiters, and department heads to align on process, timelines, and logistics, providing operational guidance without owning full-cycle sourcing or closing.
**Data-Driven Insights**: Leverage recruiting metrics and AI-assisted analytics to track program and pipeline performance, identify bottlenecks, and recommend improvements.
**Special Projects**: Lead recruiting-related projects such as employer branding initiatives and process improvements as an owner.

**Requirements:**
- 4+ years of experience in recruiting operations, recruiting coordination, or talent program management, with a track record of owning processes independently
- Hands-on Ashby expertise, including building and scaling ATS workflows, templates, and configurations
- Experience managing complex, multi-stakeholder interview scheduling and logistics across multiple time zones
- Experience planning and executing university or campus recruiting programs and events, with willingness to travel occasionally
- Comfort using recruiting data and analytics to identify trends and drive process improvements
- Strong project management skills with ability to own special projects from scope to completion with minimal oversight
- Advanced proficiency using AI tools to improve recruiting workflows (scheduling, communication, process design, data analysis)
**Nice-to-have:**
- Experience supporting technical or high-volume hiring at fast-growing tech or SaaS companies
- Experience mentoring or providing guidance to junior coordinators or operations team members
- Exposure to employer branding or candidate marketing initiatives
- Familiarity with recruiting tech stack tools beyond the core ATS (Google Suite, scheduling tools, HRIS platforms)
