Checkout.com is a leading fintech payments platform powering over 10 billion transactions yearly for global brands like eBay, Spotify, Klarna, and Uber. This role is a key operational position responsible for delivering, optimizing, and evolving the London office experience across UK operations.
You will own critical operational areas, driving performance through data and ensuring the workplace operates with precision, accountability, and consistency. Acting as a bridge between strategy and execution, you will translate workplace priorities into scalable processes, measurable outcomes, and high-quality day-to-day experiences.
Key Responsibilities:
Operational Leadership & Delivery: Own day-to-day workplace operations ensuring the office runs smoothly, safely, and consistently. Act as a visible, trusted on-site point of contact. Conduct regular workplace walkthroughs to identify and resolve issues before they impact employees or visitors. Drive operational excellence through strong execution and continuous improvement.
Financial Management: Own the UK Workplace budget end-to-end, including tracking, forecasting, variance analysis, and cost optimization. Lead procurement, PO management, and invoicing processes. Partner with Finance and Accounts Payable to resolve issues and improve processes. Manage vendor commercials including pricing negotiations and contract renewals.
Vendor & Contract Management: Build and maintain strong relationships with key vendors and site partners including building management and maintenance providers. Proactively manage supplier communication and drive vendor performance through monitoring service levels and providing regular feedback. Support contract management by maintaining accurate supplier records and tracking key dates and renewals.
Data, Reporting & Performance: Own workplace reporting frameworks, dashboards, and KPI tracking. Deliver monthly and quarterly reporting across budget, operations, and workplace experience metrics. Combine operational data, service usage, and employee feedback to identify trends and measure impact of changes.
Stakeholder & Site Operations: Support engagement with building management, ensuring issue tracking and resolution. Build strong cross-functional relationships across People, Finance, and wider business teams.
Compliance & Sustainability: Own workplace compliance and reporting obligations. Ensure alignment with regulatory, environmental, and company standards. Drive improvements in sustainability performance.
Workplace Experience & Projects: Oversee experience-led services such as Food & Beverage. Partner with Workplace Coordinator(s) to deliver exceptional day-to-day employee experience. Lead workplace projects end-to-end and implement scalable process improvements. Build community through thoughtful workplace activations and events. Gather employee feedback through regular engagement and surveys.
Requirements:
- Experience in a workplace, operations, or culture experience role, ideally within a fast-paced environment
- Customer-first, hospitality-minded approach with ability to build trusted relationships and create positive, personalized employee and visitor experiences
- Proven ability to own and manage operational functions, not just support them
- Strong financial acumen with experience in budget management, forecasting, and cost control
- Confidence coordinating suppliers across hard and soft facilities management, responding to building issues, and escalating technical or compliance matters appropriately
- Experience managing vendors and contracts with strong understanding of SLAs and performance management
- Highly data-driven mindset with ability to translate insights into action
- Exceptional organization and attention to detail with ability to manage multiple priorities
- Strong stakeholder management and influencing skills, confident working across all levels
- Ability to operate autonomously, take ownership, and make decisions with confidence
- Proactive, solutions-focused approach with drive for continuous improvement
- Strong communication skills, both written and verbal
- Highly self-sufficient and proactive with sound judgment and strong sense of ownership
