Armada is a hyperscaler for edge AI infrastructure, backed by nearly $500M in funding from investors including Founders Fund, Lux, BlackRock, and Microsoft, with strategic partnerships across Microsoft, Dell, Palantir, NVIDIA, SpaceX, and Skydio. The company is named one of Fast Company's Most Innovative Companies and a CNBC Disruptor 50 company, with solutions deployed across 60+ countries. You will serve as the day-to-day operational lead for Armada's global events portfolio, reporting directly to the VP of Experiential Marketing. This is a hands-on, high-ownership role responsible for the logistical, technical, and operational foundation of all experiential programs across the Americas, EMEA, and APAC regions. Key responsibilities include: **Event Planning & Operational Delivery:** Manage end-to-end operations for third-party conferences, owned experiences, field programs, executive engagements, and internal events. Build detailed workback plans, run-of-show documents, staffing plans, production schedules, and contingency plans. Oversee registration, attendee communications, food & beverage, audiovisual, production, transportation, security, and on-site execution. Support executive and VIP logistics including travel coordination, briefing materials, green rooms, rehearsals, handlers, and on-site movement. Serve as a calm, decisive on-site lead who anticipates issues, resolves them quickly, and protects guest and executive experiences. **Systems, Tools & Portfolio Management:** Build and maintain operational systems that keep the global portfolio running: intake processes, briefs, approval workflows, calendars, templates, checklists, and service standards. Maintain a single source of truth for event dates, owners, budgets, milestones, executive participation, content needs, and cross-functional dependencies. Create scalable processes that ensure consistency across regions while allowing for local adaptation. Partner with Marketing Operations to improve event technology, registration systems, lead capture, data hygiene, integrations, and reporting workflows. **Budget, Vendor & Risk Management:** Own budget tracking, purchase orders, invoices, accruals, reconciliations, and forecasting in partnership with Finance and program owners. Lead vendor sourcing and management across agencies, venues, production, audiovisual, fabrication, hospitality, transportation, gifting, and staffing. Support contract negotiations, scopes of work, change orders, payment schedules, insurance, permits, and compliance. Track inventory, assets, signage, collateral, and shipping logistics to reduce waste and improve reuse. Maintain risk, safety, and contingency standards for global events, escalating decisions at the right time. **Cross-Functional Partnership & Measurement:** Partner with Field Marketing, Corporate Marketing, Sales, Executive Operations, Communications, Product Marketing, People, Finance, Legal, and Procurement to align on event strategy, timing, budgets, and outcomes. You thrive in fast-paced, entrepreneurial environments and excel at turning ambitious ideas into flawlessly executed experiences. You are detail-oriented, intellectually curious, a strong problem-solver with a "get-it-done" attitude, highly organized, results-driven, and a collaborative team player focused on business success. **Requirements:** The posting emphasizes desired traits rather than explicit years of experience or certifications. Candidates should demonstrate: strong business acumen and intellectual curiosity; independent problem-solving ability and efficiency; comfort working quickly in entrepreneurial settings; collaborative team orientation; exceptional organizational and prioritization skills; and a dedicated work ethic. Experience managing complex, multi-stakeholder events at scale, vendor management, budget oversight, and cross-functional coordination is implied by the role scope.
