InstaLILY is an AI products and infrastructure company founded in 2023 that has raised nearly $100 million. The company's flagship product, Lily, is an AI Forward Deployed Engineer that learns how businesses work, builds needed software, and goes live in days. InstaLILY serves leading companies across construction, industrial distribution, logistics, healthcare, and other operationally intensive industries. Revenue has grown 5x over the past year, with Lily driving over $200M in new annual sales for a single customer.
You will own the complete events function for InstaLILY, with strategic responsibility for all customer-facing and internal programs. Your primary focus is executive programs: designing and running summits, customer working sessions, and private dinners with senior operators where deals actually move. You will also oversee the company's presence at industry trade shows in distribution, construction, logistics, and healthcare; manage participation in the partner and ecosystem circuit with NVIDIA, Google, and Microsoft; and run internal events that keep the fast-growing team across four offices (New York, San Francisco, London, Toronto) connected.
Key responsibilities include: designing executive programs and managing who gets invited; building and owning the annual events calendar across hosted events, trade shows, partner events, and internal gatherings; managing booth presence, speaking slots, and side events at major conferences; owning the complete run-of-show and making real-time decisions when issues arise; managing the full events budget end-to-end, including vendor negotiation and cost tracking; building pre-event outreach and post-event follow-up sequences, ensuring data flows cleanly into HubSpot, and reporting on pipeline impact; directing the day-to-day events work and setting quality standards; and briefing founders on attendees and messaging before events.
The role emphasizes commercial judgment over logistics: you think in terms of qualified conversations and pipeline influence, not attendance numbers and swag. You will report on what each event actually produced and be able to defend cost per qualified conversation. You'll work closely with sales leadership and the founders on event strategy. Travel is expected at roughly 25% during event season.
REQUIREMENTS:
- 6+ years running B2B events, with substantial experience on hosted executive programs (not just trade show logistics)
- Proven track record owning a program (annual calendar and budget), including making decisions to kill underperforming initiatives
- Experience directing someone else's work, formally or informally; ability to set standards and hold them without doing the task yourself
- Commercial judgment: think in meetings created and pipeline influenced, not attendance and swag
- Strong vendor and budget management: negotiate hard, track every line item, avoid invoice surprises
- Unflappable on-site execution: fix problems without escalating or showing panic
- Comfort working with executives: can give founders direct feedback and direct rooms of senior operators without being pushy
- Sharp written communication for invitations, agendas, and follow-ups that people actually read
- AI-native: use frontier AI tools to run more events than a team this size should be able to run
- Willingness to travel roughly 25% during event season
- In-person availability: 5 days/week in the New York office
