GrayMatter Robotics is a well-capitalized Physical AI company building Factory SuperIntelligence through autonomous robotic systems for manufacturing. The company delivers robots-as-a-service (RaaS) solutions that adapt to real geometries, materials, and process variation without reprogramming, enabling manufacturers to automate tedious, hazardous, and ergonomically demanding work.
As a Project Coordinator for the Aerospace & Defense team, you will be based onsite in the Carson, CA office and own end-to-end project execution across three phases:
**Robot Cell Design:** Maintain project schedules, milestone trackers, and action logs in coordination with the Project Lead Engineer. Organize design reviews, capture decisions and open items, and drive closure. Track customer requirements, part specifications, and change requests while maintaining revision control on shared documentation. Coordinate inputs from mechanical, controls, software, and process engineers to meet design lock-in deadlines.
**Deployment:** Manage procurement tracking, supplier lead times, and component delivery status. Plan shipping, receiving, and site logistics, including customs and export documentation. Build installation plans, site readiness checklists, and travel schedules for deployment teams. Serve as primary contact with customer facilities, security, and EHS teams on access, badging, and scheduling.
**Activation:** Prepare commissioning and acceptance test plans with the Project Lead Engineer and track execution. Record punch list items, test results, and customer sign-offs; assemble turnover packages. Coordinate operator training and handoff to GMR support teams.
**Project Administration:** Prepare weekly status reports covering schedule, budget, risks, and decisions for GMR leadership and customers. Track budgets, purchase orders, and invoicing milestones with Finance. Maintain risk and issue registers; escalate schedule and scope concerns early. Own deadline tracking for all milestones and deliverables. Apply ITAR and customer information handling requirements to all documents and communications.
