As HR & Payroll Specialist, you will manage payroll operations, HR administration, and benefits for the US and Canadian workforce. This role combines technical payroll expertise with strategic HR support across the full employee lifecycle.
Payroll Responsibilities:
- Process multi-state and multi-country payroll with compliance to federal, state, local, and provincial tax regulations
- Manage variable pay, stock compensation, supplemental pay runs, and tax deposits
- Maintain payroll records, process adjustments, and respond to employee payroll inquiries
- Manage relationships with external payroll providers across regions
- Support internal and external payroll audits
- Identify and implement payroll system improvements for efficiency and accuracy
- Apply expertise in IRS guidelines (W-2, W-4), immigration requirements, fringe benefits taxation, FLSA overtime classification, ACA compliance, and CRA/provincial Canadian payroll tax rules
- Administer Canadian contributions and filings: EI, CPP, QPP, T4, T4A, R1, ROE
HR & Benefits Operations:
- Oversee employee onboarding, health insurance setup, open enrollment, and compliance with local labor laws
- Serve as primary point of contact for HR and benefits inquiries from employees
- Manage public and private healthcare coverage, renewals, and employee communications
- Support design and implementation of HR policies aligned with company objectives and local regulations
- Assist with sensitive HR matters including employee relations, contract management, and terminations
- Collaborate with global HR and finance teams to align practices across regions
- Maintain vendor, broker, and accounting firm relationships
- Administer health and retirement benefits: 401(k), ERISA, HSA, COBRA, open enrollment
- Manage leave programs: PTO, sick leave, state-specific paid leave, maternity, parental (EI-funded), bereavement
- Handle disability claims (short and long-term) and workers' compensation
- Ensure I-9 verification, E-Verify, background checks, and employment standards compliance
- Manage provincial workers' compensation programs (e.g., WSIB in Ontario)
- Handle termination processes and constructive dismissal procedures
This role requires strong practical understanding of US and Canadian HR and payroll legislation, with ability to apply knowledge to ensure legal compliance and best practices.
