Normal Computing is an applied AI company building foundational hardware and software for the semiconductor industry and critical AI infrastructure. The company operates across New York City, Silicon Valley, London, Copenhagen, and Seoul. You will join the Communications and Marketing team as an Events & Conferences Specialist, reporting to the Head of Communications. This role owns the end-to-end delivery of Normal-hosted events and the company's participation in industry conferences and executive appearances, bringing the company's hardware and applied AI work to customers, talent, investors, and industry leaders. Key responsibilities include: - Maintain a central pipeline of owned and sponsored events, tracking schedules, staffing, production capacity, and flagging resource conflicts. Coordinate with GTM, Talent, and other internal teams to confirm needs and prepare participants. - Source event vendors, develop scopes and estimates, track spending against budgets, and coordinate contracts with Finance and Legal. - Work with Design and production partners on booths, signage, presentations, and branded materials. Gather specifications, consolidate feedback, check proofs, and arrange production, shipping, and inventory. - Arrange hardware deployments, setup, and rehearsals (technical teams own demo content). Handle speaker and VIP briefings, arrivals, stage logistics, and coordinate with Media & PR on press schedules and materials. - Drive on-site setup, run-of-show, and teardown. Keep crews and participants ready and solve problems in real time. - Serve as a Normal ambassador at conferences and events, engaging with key external partners, welcoming guests, discussing technology and products, and connecting people with appropriate colleagues. - Manage event closeout by handing off contacts, requests, and conversation context to GTM, Talent, or other teams. Coordinate vendor returns, invoices, payments, refunds, and credits with Finance. Capture attendee questions, results, and lessons learned. You care deeply about the craft of engaging in-person experiences, noticing how a room feels, how a program flows, and whether guests feel welcome. You bring structure to ambiguous work, anticipate what people will need, and act proactively to fill gaps before they become problems. REQUIREMENTS: - Two to four years of experience delivering conferences, events, or live productions (or equivalent capabilities demonstrated through another background). You should be able to show specific events you personally delivered and the part you owned. - Strong operational judgment: you make sensible tradeoffs and know when to act independently versus escalate to your manager. - Proactive ownership: demonstrate a problem you anticipated, a roadblock you removed, or a project you recovered. - Presence and interpersonal skills: ability to get decisions from busy executives, negotiate last-minute changes with producers, and put nervous speakers at ease. You know how to push for what an event needs while making people feel well looked after and handle sensitive conversations with discretion. - Experience handling mission-critical events or live productions that represented a brand to important audiences. Explain what you personally owned, how you handled pressure, and how you protected quality, deadlines, and external relationships. - Technical curiosity: willingness to learn Normal's unique technology and products well enough to understand event and demo requirements and ask useful questions. - Willingness to travel for team collaboration, industry conferences, and company-hosted events as needed.
