SonderMind is a digital mental health platform offering therapy, medication management, meditation, and mindfulness services. This role is a full-time, Monday–Friday, 9:00am–5:30pm PST operational position supporting clinical compliance and provider workflows.
As a Documentation Specialist, you will serve as the operational backbone of clinical compliance and provider support. You will manage clinical information flow, conduct daily chart audits, and partner closely with behavioral health providers (therapists and psychiatric nurse practitioners) to ensure all documentation meets payer and regulatory compliance standards.
Key responsibilities include:
- Downloading and uploading clinical records (initial evaluations, reviews, treatment plans) between external payer portals and the EHR system with accuracy and error-free integration
- Daily monitoring, auditing, and follow-up on outstanding clinical documentation across assigned provider caseloads to enforce strict compliance
- Serving as the dedicated point of contact for clinicians on documentation procedures, template orientation, chart addendums, and clinical review workflows via email and internal messaging
- Maintaining meticulous, real-time tracking logs of documentation statuses while upholding HIPAA compliance
- Assisting with new provider onboarding by guiding clinicians through documentation expectations, EHR workflows, and compliance milestones
- Coordinating documentation exchanges between clinicians and insurance liaisons to resolve chart discrepancies and fulfill audit requests
- Identifying recurring charting bottlenecks and non-compliance trends, providing actionable feedback to operations leadership
- Supporting ad-hoc projects based on business needs
Success metrics include SLA compliance rates (% of intakes audited/completed within 24 hours, safety plans documented same-day), log accuracy and timeliness, provider responsiveness, and minimizing billing delays from missing clinical notes. You will manage a caseload of 25–30 clinicians and be expected to work independently after a 90-day ramp period.
The company emphasizes modern AI tool proficiency (Gemini, ChatGPT, Claude, GitHub Copilot, etc.) as essential for success.
Requirements:
- 1–2+ years of administrative, care coordination, or operational experience in healthcare or behavioral health
- Strong working knowledge of clinical documentation standards, medical records management, and HIPAA regulations (preferred)
- Proven proficiency with Electronic Health Record (EHR) platforms and administrative tracking systems; experience with Google Workspace, Microsoft Excel, and web-based portals
- Excellent written and verbal communication skills with ability to convey compliance requirements to clinicians in a warm, collaborative, professional manner
- High attention to detail with ability to prioritize high daily task volume, manage competing deadlines, and maintain focus in a fully remote environment
