Salary: USD 60,000 - 80,000 / annual
Panthalassa is a renewable energy and ocean technology company developing devices that capture energy from the ocean to power computing and produce affordable renewable fuels. The company is a public benefit corporation headquartered in Portland, Oregon, backed by leading venture capitalists and philanthropic investors, with a team drawn from SpaceX, Blue Origin, Boeing, Tesla, Apple, and other leading organizations.
This role owns the end-to-end onsite candidate experience and recruiting logistics. You will run interview days 5–10 per week, managing room bookings, agendas, signage, materials, AV basics, and schedule adherence. You'll be the calm, decisive point person onsite—greeting candidates, escorting them between rooms, handling day-of changes, and ensuring smooth logistics.
Key responsibilities include:
- Own onsite interview days end-to-end: room bookings, agendas, signage/materials, AV basics, and schedule management (5–10/week)
- Serve as the onsite point person: greet candidates, escort between rooms, handle changes, ensure everyone reaches their destinations
- Partner with recruiters on logistics: you drive the operational plan while recruiters handle candidate communications
- Coordinate hospitality: order/set up lunch and refreshments, manage dietary needs, reset rooms between sessions
- Build repeatable systems: templates, checklists, room standards, and lightweight processes to keep interview days organized
- Provide general HR admin support: scheduling, document coordination, and ad hoc People Ops support for recruiting and employee relations
The role exists to support employees and make every candidate interaction feel thoughtful, smooth, and human. You'll work closely with recruiters and be intentional about priorities that improve employee retention or support healthy growth.
REQUIREMENTS:
Required:
- 1–3+ years in a coordination/admin role managing complex logistics (recruiting, HR, EA, events, office ops)
- Strong calendaring and organization skills (Google Calendar) with comfort using trackers, checklists, and ATS systems
- Calm, service-oriented, and decisive onsite presence; ability to troubleshoot quickly and communicate clearly
- Discretion and trustworthiness with confidential HR information
- Authorization to work in the United States
- Ability to work longer hours and weekends intermittently to support critical needs

Desired:
- Experience owning high-volume onsite interview days with multi-loop schedules and frequent day-of changes
- Experience with Greenhouse or similar ATS systems
- Comfort with basic AV setup and troubleshooting (Google Meet, screen sharing, conference room basics)
- Strong Google Sheets skills for trackers and templates
- Experience building lightweight systems (SOPs, checklists, templates) for repeatable execution
- Experience supporting broader People Ops/HR admin work beyond recruiting
