Helsing is an AI-focused defense technology company building capabilities to protect democracies. As a Talent Operations Coordinator based in Washington DC, you will be a core member of the Talent Operations team, managing the scheduling engine that powers high-volume, multi-timezone hiring pipelines.
Your primary responsibilities include:
• Support high-volume interview scheduling across multiple time zones, coordinating candidate, interviewer, and hiring manager availability to maintain rapid hiring velocity
• Operate Applicant Tracking Systems (ATS) and automated scheduling tools to manage complex, fast-moving interview loops for both virtual and onsite candidates
• Serve as a key point of contact for candidates and interviewers, ensuring rapid response times and a seamless experience throughout the interview process
• Maintain accurate, real-time data, documentation, and templates across all internal systems to enable quick decision-making by hiring teams
• Partner with Talent Acquisition and Talent Operations colleagues to identify scheduling bottlenecks and implement measurable improvements to throughput and turnaround time
• Contribute to reporting on scheduling speed, pipeline velocity, and interview completion rates to track and optimize operational performance
You should have experience supporting scaling, high-volume talent acquisition functions with a focus on operational execution. You excel at managing complex, multi-timezone scheduling with precision even when priorities shift quickly. You communicate clearly, articulate process challenges, and propose practical, fast-turnaround solutions. You are proficient with Applicant Tracking Systems and can solve problems in the moment to keep fast-paced pipelines moving without sacrificing accuracy. You thrive in scaling, high-volume environments while maintaining confidentiality.
Nice-to-have qualifications include operational experience with Greenhouse, Ashby, Confluence, and GoodTime, as well as a data-focused approach with the ability to manage and interpret reports relating to process efficiency.
