Salary: USD 70,304 - 89,535 / annual

WelbeHealth operates a PACE (Program of All-Inclusive Care for the Elderly) program that delivers comprehensive medical and community-based services to seniors, enabling them to remain in their homes and communities. The organization provides integrated care including medical, dental, physical therapy, and related services. The Supervisor, Scheduling role is a management position responsible for overseeing all scheduling operations and leading a small team of scheduling specialists. This is a hands-on leadership role that combines operational oversight with direct people management. Key responsibilities include: - Providing operational oversight to ensure timely and accurate scheduling of participant appointments in compliance with WelbeHealth protocols - Directly supervising and mentoring Scheduling Specialists and an Onsite Specialty Scheduler, including coaching, performance monitoring, and daily workflow oversight - Serving as the escalation point for complex or urgent scheduling issues, working with internal staff, external entities, and participants to resolve problems promptly - Conducting quality assurance reviews and audits of scheduling data for accuracy, completeness, and regulatory compliance - Ensuring scheduling operations comply with all policies, procedures, and healthcare regulatory requirements - Monitoring team productivity, accuracy, and adherence to performance standards - Maintaining WelbeHealth's commitment to exceptional customer service through professional, timely, and empathetic communication with participants, families, providers, and team members Required qualifications: - High school diploma or equivalent (associate or bachelor's degree in healthcare administration or operations management preferred) - Minimum 2 years of healthcare scheduling or operations experience - Minimum 2 years of supervisory experience with demonstrated ability to mentor and develop team members (preferred) - Minimum 1 year of experience with Electronic Medical Records (EMR) and scheduling/communication platforms - Experience in data-driven environments, leveraging reports and analytics to manage people and projects - Strong leadership skills with proven ability to coach, motivate, and develop high-performing teams The role requires onsite work in San Jose.
