Celonis, a global leader in Process Intelligence and Process Mining technology, is seeking an experienced Senior Payroll Specialist to own end-to-end multi-state US and Canadian payroll operations for 850+ employees across three legal entities.
In this senior individual contributor role, you will manage complex payroll processing across two separate US bi-weekly payrolls (ADP Workforce Now) and Canadian semi-monthly payroll (UKG Payroll) for employees in Ontario and British Columbia. You will process diverse payment types including equity (NSO/ISO/RSU), bonuses, commissions, retro pay, terminations, and severance while ensuring strict compliance with US federal, state, and local payroll tax laws, FLSA regulations, and Canadian provincial employment standards.
Key responsibilities include: leading end-to-end payroll processing for exempt, non-exempt, hourly, and salaried employees; managing statutory deductions, garnishments, court orders, 401(k)/RRSP contributions, and benefit withholdings; overseeing compliance across multiple US states and Canadian provinces (EI, CPP/QPP, EHT/CNESST, ROE issuance); partnering with external vendors and tax accountants on quarter-end and year-end processes including W-2/1095-C and T4/T4A/RL-1 filings; identifying automation and process improvement opportunities; auditing payroll inputs and outputs to maintain near-zero error rates; reconciling payroll tax accounts with Finance/Accounting; and serving as the primary point of contact for employee payroll inquiries.
You will work closely with Human Resources, Benefits, Finance, Accounting, Treasury, and other stakeholders. The role involves leveraging Workday as the HR System of Record and contributing to AI-powered payroll system modernization initiatives.
Required qualifications: 5+ years of hands-on experience independently running both US and Canadian payrolls in high-growth or mid-to-large multi-state/multi-province environments; deep expertise in US payroll tax mechanics (multi-state withholding, FLSA rules, fringe benefits); strong working knowledge of Canadian payroll mechanics and provincial employment standards; proficiency with ADP Workforce Now, UKG Payroll, and Workday; and intermediate to advanced Microsoft Excel skills for analyzing, reconciling, and validating large payroll datasets.
