The Senior Payroll & Benefits Specialist is a hybrid role responsible for accurate and timely administration of U.S. payroll and employee benefit programs across a multi-site, private equity-backed organization. This position serves as a key resource for payroll processing, benefits administration, HRIS data integrity, payroll compliance, reporting, and employee support. Key responsibilities include managing and processing U.S. payroll cycles across multiple locations and entities using ADP, ensuring accurate processing of new hires, terminations, promotions, and compensation changes. The role involves reviewing payroll inputs including hours, overtime, bonuses, commissions, deductions, and PTO; researching and resolving payroll discrepancies; and coordinating payroll activities with Finance and Accounting teams. The specialist will reconcile payroll-related accounts, taxes, garnishments, and benefit withholdings, and support year-end activities including W-2 preparation. Benefits administration duties encompass managing medical, dental, vision, life insurance, disability, FSA/HSA, 401(k), and other employee benefit programs. This includes managing enrollments, qualifying life events, terminations, and coordinating with benefit brokers and insurance carriers. The role requires serving as a subject matter expert for ADP payroll and HRIS functionality, maintaining employee data accuracy, performing system audits, and supporting system implementations and upgrades. Compliance and reporting responsibilities include maintaining adherence to federal, state, and local payroll, tax, wage-and-hour, and benefits requirements; monitoring regulatory changes; supporting audits; and preparing recurring and ad hoc reports for HR, Finance, and management. The specialist will also support payroll and benefits integration activities associated with mergers, acquisitions, and organizational growth, assisting with employee transitions and process standardization across multiple U.S. locations. The ideal candidate has hands-on experience with ADP payroll and HRIS platforms, multi-state and multi-entity payroll, benefits administration, payroll reconciliation, and federal, state, and local payroll requirements. This position plays an important role in process improvement, HR technology initiatives, and standardization across multiple locations.
