OpenAI is seeking a Recruiting Coordinator Lead to scale and strengthen recruiting operations across the organization. This role goes beyond scheduling execution to design scalable coordination practices, identify systemic inefficiencies, and influence process changes across teams.
Key responsibilities include:
- Lead scalable recruiting coordination practices across multiple technical business functions and hiring pipelines, ensuring operations are efficient, consistent, and candidate-first
- Act as a strategic partner on recruiting operations challenges, identifying scalable solutions through data, tools, and process improvements
- Manage and mentor recruiting coordinators, driving consistency and establishing scalable best practices
- Partner with recruiters, hiring managers, recruiting leadership, and Executive Operations teams to support hiring goals
- Support interviewer enablement efforts including training logistics, onboarding, pool management, and load balancing
- Coordinate onsite interview logistics, candidate travel, and reimbursement processes for domestic and international candidates
- Identify systemic operational gaps, conduct root-cause analysis, and recommend improvements for long-term recruiting growth
- Navigate ambiguity and shifting priorities in fast-moving hiring environments while influencing stakeholder adoption of consistent practices
- Manage professional, timely, candidate-first communication across written and verbal channels
- Utilize tools including Ashby, Guide, ChatGPT, Google Workspace, Slack, Navan, Reimbi, and Notion
Required qualifications: 5+ years of recruiting coordination or recruiting operations experience in fast-paced/high-growth environments; 1.5+ years managing or leading recruiting coordinators or recruiting operations teams in high-volume settings; significant experience supporting multiple technical business functions; proven expertise managing high-volume and complex technical scheduling; strong stakeholder management and communication skills; demonstrated track record of improving coordination workflows and recruiting systems at scale; expertise with Google Calendar, Guide, Ashby, Slack, Notion, Navan, Reimbi, and Google Workspace; highly organized with strong prioritization and adaptability; detail-oriented, proactive, and solutions-oriented; collaborative mindset focused on process improvement; high professionalism and discretion with senior leadership.
Preferred: experience with hypergrowth or rapidly scaling recruiting organizations; advanced technical knowledge of process automation and reporting tools; knowledge of AI/technology trends and enthusiasm for OpenAI's mission; strong process improvement mindset.
The role is based in San Francisco with a hybrid work model: three days in-office per week with optional work-from-home on Thursdays and Fridays. Relocation support is available.
