As a Recruiting Coordinator on the Talent team, you will be the operational backbone of Rillet's hiring engine. You'll own end-to-end interview scheduling across functions, time zones, and complex interview loops, managing reschedules, last-minute changes, and high-priority candidates. You'll drive the candidate experience from initial scheduling through final decision, ensuring timely, thoughtful communication and seamless navigation of the process. Key responsibilities include maintaining accurate recruiting systems (ATS data, pipelines, interview materials, candidate communications, and offer logistics), partnering closely with recruiters and hiring managers to anticipate bottlenecks and keep hiring moving, and building better workflows as the company scales. You'll spot recurring operational issues and create structure where it doesn't yet exist. The ideal candidate has 1–3 years of recruiting coordination or high-volume operations experience, ideally in a fast-moving startup or scaling company. You're highly organized, detail-oriented, and comfortable managing many moving pieces simultaneously. You have high ownership and strong judgment, making decisions and solving problems independently. Experience with modern ATS platforms (Ashby is a strong plus) is important. You're a warm, clear communicator who builds trust with candidates, recruiters, hiring managers, and executives. You're adaptable, proactive, and calm under pressure when priorities shift unexpectedly. This role requires three days per week in the NYC office (Tuesdays, Thursdays, plus one flexible day).
