Mesa Quantum is building next-generation quantum sensing and Position, Navigation, and Timing (PNT) technologies for defense, critical infrastructure, telecommunications, and autonomous systems. As a fast-growing deep-tech startup, they are seeking a People & Operations Coordinator to manage day-to-day operations and help scale the organization.
The role sits at the center of Mesa's operations, spanning people operations, procurement, facilities management, and administrative support. You will be responsible for ensuring employees have what they need to succeed, vendors are managed effectively, and operational processes run smoothly.
Key responsibilities include coordinating employee onboarding and offboarding, preparing offer letters and documentation, managing employee accounts and equipment setup, supporting payroll and benefits administration, and maintaining employee records. You will build, document, and implement People Operations processes from the ground up—not just execute existing workflows. This includes developing scalable processes for onboarding, offboarding, employee lifecycle management, performance management, and HR workflows as the company grows.
On the procurement side, you will coordinate office, laboratory, and operational purchases, manage inventory, track orders and deliveries, build vendor relationships, and oversee software licenses and subscriptions. For facilities, you will help maintain a safe and efficient workplace, coordinate vendors and maintenance providers, manage cleaning and office support relationships, and assist with office moves and improvements.
Additionally, you will maintain organized records and documentation systems, track deadlines and contract renewals, support company events and team activities, identify operational gaps, and assist leadership with special projects.
The ideal candidate is highly organized, detail-oriented, and enjoys creating order from complexity. You should have strong communication skills, exceptional problem-solving abilities, and demonstrated experience building and implementing HR or People Operations processes—not just executing them. Experience with Google Workspace, Microsoft Office, and common business software is required. You should be comfortable working independently in a fast-paced startup environment and have a strong sense of ownership and follow-through.
