Xaira Therapeutics is an innovative biotech startup leveraging AI to transform drug discovery and development. The company develops generative AI models to design protein and antibody therapeutics, foundation models for biology and disease, and operates across the San Francisco Bay Area, Seattle, and London. As Payroll Manager reporting to the Corporate Controller, you will oversee all aspects of payroll administration for a growing biotech organization. This is a hands-on, high-impact role focused on creating scalable systems and establishing best practices for robust payroll infrastructure. Key responsibilities include: **Payroll Administration**: Manage end-to-end payroll processing for all employees including regular payroll, bonuses, and off-cycle payments. Process multi-state payroll with timely accuracy, maintain payroll calendars, handle new hires/terminations/salary adjustments, administer Leave of Absence calculations, and respond to employee inquiries. **Compliance**: Ensure adherence to federal, state, and local payroll regulations and tax requirements. Maintain compliance with wage and hour laws, garnishments, tax levies, and court orders. Coordinate payroll tax filings and year-end reporting including W-2 forms. **Accounting & Financial Reporting**: Prepare payroll journal entries and account reconciliations. Reconcile payroll liabilities and benefit accounts. Partner with Accounting during month-end, quarter-end, and year-end close. Support internal and external audits. **Employee Expense & Corporate Credit Card Administration**: Administer expense reimbursement programs ensuring timely processing. Review expense reports and corporate credit card transactions for policy compliance. Verify documentation and resolve exceptions. Coordinate card issuance and investigate disputed transactions. **Systems & Process Improvement**: Maintain payroll systems and data integrity. Partner with HR and Accounting to improve workflows and automation. Recommend and implement process improvements to enhance efficiency and internal controls. Required qualifications: Bachelor's degree in Accounting, Finance, Business Administration, HR, or related field. 5+ years payroll experience including multi-state administration. Experience with employee expense reimbursement and corporate credit card programs. Strong knowledge of U.S. payroll tax regulations and wage/hour laws. Experience with payroll and expense management systems (ADP, UKG Ready, etc.).
