As Payroll Manager, you will own end-to-end payroll operations for 1,000+ W-2 employees across multiple states. You'll run payroll in Rippling, manage federal, state, and local tax accounts, oversee filings and payments, lead reconciliations and audits, and build scalable, AI-enabled processes that allow the payroll function to scale with the business.
Key responsibilities include: executing scheduled and off-cycle payroll runs with validation of timekeeping, compensation, garnishments, and deductions; performing pre- and post-payroll reviews and variance analysis; managing payroll-tax account registrations, closures, and filings as the company enters new states; leading quarter-end and year-end activities (Forms 941, 940, W-2/W-3, 1099); owning recurring insurance, 401(k), and workers' compensation reconciliations; serving as Rippling system owner for configurations, permissions, and internal controls; building a payroll knowledge base and standard operating procedures; and designing AI workflows to automate routine payroll questions and route sensitive cases for human review.
You bring 4+ years of hands-on U.S. payroll experience, including 2+ years independently owning full-cycle, multi-state payroll for 500+ W-2 employees (1,000+ preferred). You have deep knowledge of federal, state, and local payroll tax, experience maintaining state tax accounts and resolving agency notices, proficiency with Rippling or similar modern HRIS platforms, advanced Excel/Google Sheets skills, and demonstrated use of AI or automation tools. You're based in the US or Canada, able to work core U.S. business hours, and relentless about accuracy, process automation, and closing loops. Healthcare or multi-clinic experience is a plus.
