As Operations Associate, you'll manage the day-to-day operations of the Briarcliff Manor satellite office in Westchester County while owning eligibility, benefits, prior authorization, and coverage investigation work. This dual-focused role combines on-site office management with insurance operations detective work.
Office Management: You'll oversee the Briarcliff Manor office setup and maintenance, keeping it functional, presentable, and audit-ready. You'll manage incoming mail, provide in-person support to visiting patients, maintain company records in coordination with the compliance team, and serve as the primary point of contact for regulatory inspectors and auditors during DME office assessments.
Operations & Coverage Investigation: When orders stall, you'll trace root causes—coverage lapses, incorrect plan information, MCO carve-outs, entity/NPI mismatches, documentation gaps—and fix them to prevent recurrence. You'll verify insurance eligibility, submit and track prior authorizations, follow up on appeals, and resolve denials. You'll develop SOPs, track KPIs like eligibility hit rates and authorization turnaround times, and transform recurring investigations into repeatable workflows.
You'll report to the Head of Operations and collaborate closely with compliance, revenue cycle management, fulfillment, clinical, and product teams. This role offers real opportunity to shape both ground-level operations and insurance operations as the company scales across states.
Ideal candidates are detail-oriented and organized, payer-literate with understanding of Medicaid, Medicare, and commercial insurance structures, comfortable with regulatory compliance and HIPAA requirements, poised for patient-facing interactions, systems-minded and self-directed, collaborative across departments, and mission-aligned around healthcare access.
