Salary: USD 60,000 - 85,000 / annual
ReflexAI is building an operating system for conversation performance, combining AI-powered training simulations with intelligent QA to support frontline teams in mission-critical conversations across healthcare, crisis support, customer service, and sales. The platform operates in 25 languages and serves organizations where empathy and excellence matter.
As Operations Associate reporting to the Chief of Staff, you will be the organizational backbone keeping ReflexAI's operations running smoothly. This is a hands-on, detail-driven role at the intersection of IT, compliance, finance, and people operations.
Key responsibilities include:
- Building and implementing repeatable processes and systems to support operational scaling
- Managing hardware and equipment lifecycle: purchasing, setup, shipping, distribution, and repairs for a growing team
- Maintaining accurate inventory and asset-tracking as equipment is added, reassigned, or retired
- Monitoring compliance deadlines and security commitments, supporting certifications including SOC2, HIPAA, HITRUST, ISO27001, and ISO42001
- Tracking and managing accounts payable and receivable, ensuring timely vendor payments and customer payment adherence
- Monitoring vendor spend, flagging increases and contracts approaching renewal
- Supporting additional operational projects as prioritized by leadership
You bring 1–3+ years of operations, IT administration, executive support, or similar generalist experience. You excel at managing multiple concurrent workflows with strong organizational skills, clear communication, and reliable follow-through. You have basic comfort with IT/hardware logistics and SaaS access management, plus some exposure to finance/accounting operations or strong aptitude to learn quickly. U.S. citizenship is required due to support of a Department of Veterans Affairs contract.
Nice-to-haves include experience with expense platforms (Ramp, Brex, SVB), asset-tracking tools, compliance frameworks, IT security initiatives, or fast-growing startup environments. You're detail-oriented, take pride in nothing falling through the cracks, enjoy turning messy tasks into clean processes, and seek ownership while collaborating proactively across teams.
