Perplexity AI seeks a Global Workplace Business Operations Lead to manage business operations and cross-functional program delivery for the Workplace Experience team across global offices. Reporting to the Head of Workplace Experience, you will set operating frameworks, make decisions within agreed parameters, and remain hands-on in delivering results.
Key responsibilities include:
- Own the workplace operating framework by leading annual and quarterly planning, translating strategy into priorities and resource plans, establishing decision rights and measures of success, and managing capacity trade-offs.
- Lead internal capital-project delivery with accountability for integrated plans across office openings, refreshes, and capital initiatives. Direct external PMs, align internal workstreams, resolve delivery issues, and hold partners accountable for schedule, cost, quality, and operational readiness.
- Own portfolio controls and insight by establishing lease administration, obligation tracking, space and occupancy information, and portfolio reporting. Set data standards, ensure ownership of actions, and surface trends and risks proactively.
- Drive financial planning and performance by owning operating and capital forecasts, commitments, actuals, and variance analysis in partnership with Finance. Challenge assumptions, recommend corrective actions, and provide reliable basis for budget decisions.
- Set systems and reporting roadmap for workplace tools such as Envoy. Establish performance measures, improve data quality, automate repeatable work, and maintain appropriate controls.
- Lead EHS program governance by establishing risk-based plans, clear responsibilities, and review cadence with vendors and internal teams. Drive follow-through on obligations and remediation, maintain completion evidence, and escalate material risks.
- Set standards for delivery and handover by developing project playbooks, planning processes, and operational-readiness criteria. Ensure completed projects transfer to local operations with necessary documentation, training, and vendor arrangements.
- Serve as senior operating partner by leading cross-functional reviews, surfacing decisions with recommendations, and representing areas with internal and external partners.
Requirements:
- 8+ years in workplace business operations, corporate real estate, facilities programs, or closely related field with increasing responsibility for complex, multi-site programs
- Demonstrated operation with substantial autonomy, not just administration of others' plans
- Core project management expertise with ability to plan, organize, track, and execute projects while keeping teams aligned
- Record of delivering office buildouts, relocations, or capital improvements as internal owner with accountability for scope, financial performance, schedules, change control, and external partners
- Strong financial and analytical judgment with experience driving forecasting and reporting processes, challenging assumptions, and translating portfolio data into recommendations; strong spreadsheet and analytical skills
- Experience building operating frameworks including planning, governance, performance measures, and systems that improve predictable delivery
- Leadership across organizational boundaries with ability to secure commitments, challenge constructively, resolve competing priorities, and communicate credibly to senior leaders
- Hands-on ownership and sound judgment; ability to move between portfolio-level trade-offs and project details, deliver through others without losing accountability, handle sensitive information responsibly, and maintain service-oriented approach under pressure
- Helpful but not required: international portfolio experience, workplace technology ownership, EHS program governance, or relevant project-management credential
