As Executive Coordinator, you will support Deepgram's CEO and CTO by reporting to their Executive Assistant. You'll own the operational execution that keeps the executive office running smoothly, allowing the Executive Assistant to focus on strategic priorities.
Key responsibilities include:
- Manage scheduling for both executives: convert meeting requests into conflict-free calendars aligned with priorities
- Plan and execute complex travel logistics end-to-end, with flexibility when plans change
- Support inbox management for the CTO and triage for the CEO
- Run day-to-day Ann Arbor office operations as the in-person point of contact for supplies, vendors, visitors, and facility management
- Organize logistics for leadership offsites, executive dinners, and team events
- Maintain expense tracking, reimbursements, and corporate card reconciliation
- Identify opportunities to use AI and automation to eliminate manual work in scheduling, inbox triage, and meeting prep, sharing best practices with the wider executive support team

Requirements:
- At least one prior role directly supporting an executive with hands-on ownership of calendar management and travel booking
- Exceptional attention to detail, including scheduling across time zones
- Daily, hands-on use of AI tools in your work with genuine enthusiasm for using them to replace manual steps
- Clear, professional written communication representing executives
- Sound judgment with confidential information
- Ability to juggle competing requests and stay calm under time pressure
- Responsiveness to time-sensitive requests throughout the day with coverage shared across a two-person team
- Openness to feedback and coaching
- Residence within commuting distance of Ann Arbor, MI, with regular, consistent in-office presence
Preferred qualifications:
- 1–3 years of experience in executive support or similar coordination role
- Experience in a support role at a tech startup or high-growth company
- Experience supporting multiple executives simultaneously
- Experience using AI beyond chat (automations, custom assistants, workflows)
- Office management or workplace operations experience
- Familiarity with executive-support tools for calendar, travel, expense, and communications
