You will serve as Executive Assistant to Omnea's executive team, acting as the backbone of the executive office. Your responsibilities include:
**Core Responsibilities:**
- Manage complex executive calendars across multiple time zones, ensuring seamless scheduling and coordination
- Own email and communication filtering, prioritizing and drafting responses as needed
- Act as gatekeeper to protect executive time for high-impact activities, managing conflicting priorities and removing blockers
- Plan, schedule, and coordinate internal and external meetings with full preparation of agendas, action item tracking, minutes, and follow-ups
- Assist with board materials, investor updates, and executive briefing notes
- Organize and book all travel logistics including flights, hotels, transfers, visas, and detailed itineraries; handle last-minute changes seamlessly
- Manage operational and administrative tasks including expenses, invoices, and budget tracking
- Serve as primary point of contact for key stakeholders, prospects, and customers on behalf of executives
- Identify and implement systems and processes that improve productivity and reduce administrative workload
- Handle confidential information with discretion and professionalism
**Work Environment:**
You'll work 3 days per week in the London office (Tuesdays, Wednesdays, Thursdays) with flexibility for occasional travel with the CEO. The role operates in a fast-paced, high-growth startup environment with increasing US-Europe time zone coordination needs.
**Requirements:**
- 3-5 years of work experience as an Executive Assistant, Personal Assistant, Chief of Staff, or Founders Associate, ideally in a high-growth startup or tech environment
- Alternatively, demonstrated excellence in another challenging role that shows ability to work hard under pressure in a fast-paced, stressful environment (career changers welcome)
- Must be London-based with ability to work 3 days per week in office
- Unable to sponsor visas or relocation
- Highly organized with meticulous attention to detail and exceptional multitasking ability
- Flexibility to provide support during off-hours across different time zones
- Tech-savvy with experience using modern productivity tools (Slack, Notion, Google Suite)
- Ability to ruthlessly prioritize, think strategically, and maintain focus on outputs over inputs
- Outstanding communicator (verbal, written, and presentation skills) with ability to build rapport and influence across all levels
- Proactive, outcome-focused, and comfortable with accountability and driving initiatives forward
- Empathetic, reliable, and collaborative with minimal ego and commitment to continuous improvement
