PhysicsX is a physics AI company for industrials, building simulation software to accelerate hardware innovation across aerospace & defence, automotive, semiconductors, materials, and energy & renewables. The company is headquartered in London with offices in New York and Singapore.
You will join the Marketing & Communications team as Events & Experiences Manager, reporting directly to the Head of Marketing & Communications. This is a high-ownership role responsible for building and running PhysicsX's events engine to support commercial, research, talent, and brand objectives.
You will own two core areas: (1) PhysicsX's external event portfolio—identifying, prioritizing, and managing presence across industry conferences, research forums, executive summits, partner events, and talent activities; and (2) producing PhysicsX-owned experiences end-to-end, from executive dinners and customer roundtables to technical workshops, launch events, and talent mixers.
Key responsibilities include: developing and maintaining a global events calendar aligned to business objectives; leading PhysicsX's presence at conferences and industry forums, coordinating speakers, booth activations, and hospitality; planning and producing owned events with full management of budgets, venues, suppliers, production, catering, and logistics; partnering with Design and Communications on event messaging and content; creating repeatable playbooks for scaling owned events globally; and conducting post-event analysis to measure business impact and ROI.
You will work cross-functionally with leadership, commercial, research, partnerships, and talent teams, as well as external vendors. Success requires strategic thinking, vendor negotiation, attention to operational detail, and problem-solving under pressure. The role offers significant ownership from day one and direct collaboration with senior leadership on high-profile initiatives.
First 90 days priorities: build a centralized events calendar; develop planning frameworks and templates; deliver several high-profile external events and at least one owned event; establish trusted relationships across teams; demonstrate understanding of PhysicsX's ICP and strategic priorities; and establish reporting that measures event ROI including commercial pipeline, customer engagement, executive relationships, talent outcomes, and brand impact.

**Requirements:**
- Around 5+ years of experience managing complex B2B events, executive programs, or strategic experiences, ideally within technology, consulting, agencies, or venture-backed startups
- Proven experience delivering both large external conference programs and high-touch owned events
- Outstanding project management skills with exceptional attention to detail and ability to coordinate multiple complex workstreams simultaneously
- Highly organized without becoming bureaucratic; ability to create structure that helps teams move faster
- Strong commercial instincts; understanding that every event should have measurable purpose and business outcome
- Comfortable working directly with senior executives, customers, researchers, and external partners
- Excellent communication and stakeholder management skills with sound judgment
- Calm under pressure with ability to solve problems quickly when plans change
- High agency and proactive approach; ability to identify opportunities, anticipate problems, and move work forward independently
- Comfortable operating in ambiguity and building new processes where none exist
- Willing to travel internationally when required
**Bonus qualifications:**
- Experience managing executive hospitality, customer dinners, or C-suite programs
- Experience working with agencies, production companies, and international venues
- Familiarity with event technology platforms, CRM integrations, and event reporting
- Experience supporting product launches, research announcements, or technical conferences
- Experience in fast-growing startup or scale-up environments
