People Inc. is seeking an Events Associate to support the planning, development, and execution of premium consumer-facing events, including the Food & Wine Classic in Aspen and Charleston, and additional events within the Food events portfolio. Reporting to the Senior Director of Events, this role will support key event workstreams and special initiatives from planning through on-site execution, while serving as a lead for guest-facing experiences across both events. The role is structured around three primary areas: **Event Planning & Management (40%):** Lead assigned event workstreams independently, developing project plans, timelines, budgets, and operational requirements. Coordinate across internal teams, venues, vendors, production partners, and external stakeholders. Manage timelines and deliverables, proactively identifying risks and solutions. Develop run-of-shows and operational plans. Support site visits and planning priorities across both locations. Travel to and work on-site at events, taking an active role in execution and problem-solving. Lead additional event products or special initiatives as needed. **Guest Experience (30%):** Serve as a key lead for attendee experience, partnering with event leadership and cross-functional teams to create seamless, memorable experiences. Champion the attendee perspective throughout planning and identify improvement opportunities. Own key on-site workstreams including pass pickup, guest flow, wayfinding, and signage. Lead operational experience for seminar registration and access. Partner to ensure thoughtful consumer experience across evening events. Support VIP and staff hospitality programs. Use attendee feedback and on-site observations to identify pain points and recommend improvements. **Guest Communications, Registration & Customer Service (30%):** Develop and execute post-purchase attendee communication journeys, including confirmations, reminders, FAQs, and schedule updates. Manage attendee-facing website content and information. Partner with Marketing for seamless pre- to post-purchase transitions. Support day-to-day relationships with ticketing and registration platforms. Manage customer service inquiries and coordinate responses. Monitor recurring questions and translate insights into improvements. Support evaluation and implementation of future guest-facing digital tools. The ideal candidate is a hands-on event operator with a strong hospitality mindset who can move comfortably between big-picture thinking and detailed execution. They are proactive, highly organized, collaborative, and energized by identifying ways to improve experiences and building plans to execute them. The position is hybrid in-office (3 days per week in New York) with the ability to work remotely up to 2 days per week. Approximately 15% travel required. **Requirements:** - Bachelor's degree or equivalent professional experience in Event Management, Hospitality, Marketing, Communications, or related field - 2-3 years of experience in event management, experiential marketing, hospitality, guest experience, or related field, ideally supporting premium consumer-facing events - Demonstrated experience independently managing event workstreams from planning through on-site execution - Experience managing multiple projects, timelines, vendors, and stakeholders simultaneously - Experience working cross-functionally in fast-paced, highly collaborative environments - Comfort working with event technology, registration platforms, websites, or other customer-facing digital tools - Experience managing on-site event operations and troubleshooting in real time - Strong event management and project ownership skills - Hospitality mindset and strong instinct for exceptional consumer experiences - Excellent organizational skills, attention to detail, and follow-through - Strong written and verbal communication skills, with experience developing clear consumer-facing communications - Strong cross-functional collaboration skills and comfort with multiple stakeholders - Proactive problem-solving skills and ability to anticipate needs - Curiosity and continuous-improvement mindset - Ability to manage multiple priorities and deadlines in fast-paced live-events environment - Willingness to travel and work evenings and weekends as event schedules require
