Prosper AI is building conversational AI agents for healthcare to eliminate administrative waste in the system. The company is headquartered in New York with an office in Barcelona, has raised $30M from top investors including a16z and YC, and operates with a team of 60 highly talented professionals. As Workplace & Culture Manager in New York, you will own the employee and office experience across both locations. You'll report to the Head of People and work closely with your Barcelona counterpart to ensure both offices feel like one unified company. Key responsibilities include: **Office Operations:** Manage daily office functions including cleaning, maintenance, security, supplies, and meeting rooms. Own vendor relationships end-to-end, from contract negotiation to performance management. Serve as the primary contact with building management and lead space planning as the team grows. Manage the office budget, including planning, tracking, and monthly reporting. Oversee the food and drinks program and office perks. **HQ Experience:** Welcome customers, candidates, investors, and guests to create strong first impressions. Coordinate logistics for customer and investor meetings at the office. **Culture & Events:** Plan and execute a quarterly calendar of events including socials, celebrations, hackathons, offsites, and all-hands meetings. Establish and maintain rituals that define Prosper's culture. Own inter-office rituals connecting New York and Barcelona, including organizing travel for team visits and customer visits. Manage office communications to keep everyone informed. Monitor office sentiment and act on feedback. Build Prosper's presence in New York's tech and talent community through meetups, events, and partnerships. **Onboarding & Candidate Experience:** Own the complete onboarding process in New York, ensuring desks, equipment, and access are ready before day one. Conduct check-ins at 30, 60, and 90 days. Manage candidate experience including interview scheduling and office visits. Ensure smooth, respectful exits for departing employees. **People Support:** Serve as the first point of contact for New York employees with questions. Work with US payroll and benefits providers on day-to-day matters, including I-9 verification. Maintain accurate employee information in the HR system. This is a hands-on role with real ownership. You'll work directly with the Head of People and founders, with a clear path to grow into a broader Workplace & Culture Partner role or other People & Culture areas. **Requirements:** - 3–5 years of experience running an office, workplace, or employee experience, ideally in a fast-growing startup - Proven track record of owning high-visibility office operations where details matter - Experience negotiating with vendors and working with building management - Demonstrated ability to own processes end-to-end and build, run, and improve systems - Highly organized with ability to anticipate needs and close loops without reminders - Experience creating memorable events and rituals that resonate with people - Warm, trusted communication style that works well with founders, employees, and guests **Nice to Have:** - Experience opening, moving, or scaling an office - Familiarity with HR systems or applicant tracking systems - Knowledge of US onboarding processes (PEO, I-9) - Spanish language skills
