Charta Health is building an AI-powered operating system for modern healthcare organizations, streamlining workflows across revenue cycle, clinical operations, and administrative functions. Backed by Bain Capital Ventures, the company is on a mission to make healthcare infrastructure more efficient and accountable. You will be the operational backbone of Charta's hiring process and the heart of candidate experience. This is a full-time, in-office role based at the company's headquarters in SoMa, San Francisco. Your responsibilities break down into three primary areas: **Candidate Scheduling & Experience (~50%):** You will coordinate and manage candidate interview schedules across complex, multi-stage, multi-interviewer onsites and remote panels in Ashby, including coordination with the NYC office. You'll own error-free execution—ensuring correct interviewer assignments, accurate invites and links, and clear role-specific instructions. You'll serve as the primary point of contact for candidate inquiries and reschedules, greet candidates for in-person interviews, coordinate candidate travel when needed, and deliver a thoughtful candidate journey. You'll partner closely with recruiters, hiring managers, and interviewers to keep loops efficient, track interviewer availability and load, and ensure feedback is submitted on time. You'll maintain tight turnaround so candidates are scheduled quickly and hiring teams never wait on logistics. **TA Operations & Ashby (~30%):** You will serve as the day-to-day Ashby expert and primary admin contact, owning configuration of job openings, interview plans, scorecards, email templates, custom fields, and stages. You'll design, build, and maintain Ashby workflows and automations that remove manual scheduling steps and prevent errors. You'll build and run quality-control checks that catch scheduling mistakes before candidates and interviewers do. You'll keep pipeline data accurate and build recurring reports on stage conversion, time-to-schedule, interviewer load, and source tracking. You'll turn scattered process knowledge into clear playbooks and train recruiters, interviewers, and hiring managers on how the hiring process runs in Ashby. You'll work with Ashby's support team and evaluate tools (calendar, Slack, etc.) to keep the hiring stack running smoothly. **Workplace & New-Hire Experience (~20%):** You will support offer-to-start logistics with the People team, including new-hire day 1 communications, desk and equipment setup, and welcome swag. You'll keep the SF HQ running smoothly with daily kitchen and snack stocking, team lunches, shared spaces, and desk management. You'll own relationships with building management, caterers, furniture suppliers, and maintenance technicians. You'll help plan celebrations of milestones, birthdays, and work anniversaries. You'll assist with seating charts, furniture procurement as the team scales, and IT equipment inventory. This role is a natural launchpad into Talent Operations, full-cycle Recruiting, Facilities, or People Operations. You will have a front-row seat to building talent pipelines and team culture as an early member of a forming People team at a fast-growing health-tech startup, with real input, high ownership, and high impact. **Requirements:** - 2–4 years of relevant experience in recruiting coordination, talent or recruiting operations, People Ops, or a high-volume scheduling and operations role - Hands-on experience running interview scheduling and hiring workflows in Ashby, ideally including admin-level configuration of interview plans, scorecards, templates, and automations - Willingness to work on-site Monday through Friday at HQ in SoMa, San Francisco - Systems mindset with a track record of documenting processes, fixing root causes, and automating repeatable work - Exceptional attention to detail with flawless calendar management and ability to catch errors before they reach candidates, across time zones and multi-interviewer loops - Resourceful and self-managing; proactive problem solver who learns new things rapidly, takes high ownership, and navigates ambiguity independently - Thoughtful, empathetic, and service-driven customer service mindset toward candidates, interviewers, and employees, with strong written communication - Ability to lift and move objects up to 50 lbs as required for office inventory, package deliveries, desk setups, and event staging **Nice-to-haves:** Prior experience in an early-stage, fast-paced startup environment; experience supporting high-volume technical or engineering hiring; experience with Rippling (HRIS); experience building recruiting reports or dashboards or using workflow tools (Zapier, Slack workflows) to automate tasks; basic knowledge of workplace safety, building compliance, and health standards (OSHA guidelines).
