CuspAI is a frontier AI company focused on using artificial intelligence to discover breakthrough materials for energy, clean water, computing, and carbon capture. The company's founding team comprises world-class researchers in AI, chemistry, and engineering, and they are working to accelerate materials science discovery from millennia to months.
You will own the recruitment operations and coordination engine that supports CuspAI's rapid scaling across research, engineering, and operational functions. This is a hands-on role that combines systems optimization, talent analytics, and candidate experience delivery.
Key responsibilities include:
**Recruitment Operations & Systems Optimization**
- Audit, configure, and optimize Ashby ATS to ensure data integrity, pipeline hygiene, and efficient candidate throughput
- Support strategy and execute tasks to refine recruiting workflows across technical, research, operational, and go-to-market roles
- Evaluate and manage vendor relationships for recruiting tools, assessment platforms, and sourcing technology
- Create standard operating procedures for job postings, interview loops, candidate communications, and offer approvals
**Talent Analytics & Reporting**
- Design and maintain recruiting performance dashboards tracking time-to-hire, pipeline velocity, offer acceptance rates, and stage conversion
- Deliver actionable insights to Talent Partners, Hiring Managers, and Executive Leadership to resolve bottlenecks
- Conduct periodic ATS data audits and ensure GDPR compliance
**Recruitment Coordination & Candidate Experience**
- Serve as the operational engine supporting a 5-person Talent Acquisition team (4 Talent Partners, 1 Sourcer)
- Manage complex multi-stage, multi-timezone interview loops for AI Researchers, Computational Chemists, Engineers, and Business leads
- Act as the primary point of contact for candidates, maintaining clear communication and high-touch care
- Coordinate candidate travel logistics, expense reimbursements, and interview setups
**Stakeholder Collaboration**
- Work with People Operations, IT, and Hiring Managers on offer-to-onboarding transitions
- Partner with AI Researchers and Lab Leads to establish interviewer calibration and feedback frameworks
- Facilitate interviewer training on structured interviewing, Ashby usage, and inclusive hiring practices
The role is based in Amsterdam with an expectation of three days per week in the office. Regular travel to other locations may be required.
**Requirements:**
- Proven track record combining talent operations, recruitment reporting, and end-to-end recruitment coordination in a fast-paced technology or startup environment
- Deep hands-on expertise with Ashby ATS, including advanced workflow setup, interview plan creation, and custom reporting
- Proven support of full-lifecycle Talent Partners and Sourcers across technical, scientific, and non-technical roles
- Builder mindset with ability to create scalable processes, automation, and reliable operational systems
- Strong analytical capability with experience building talent reporting dashboards and optimizing hiring workflows
- Exceptional organizational skills, attention to detail, and candidate-first mindset
- Strong written and verbal communication skills for engaging with candidates and executives

**Bonus qualifications:**
- Prior experience in AI, deep-tech, computational biology, or scientific research startups
- Experience building recruiting automation with Zapier, Workato, or custom Ashby webhooks
- Exposure to international hiring logistics, visa sponsorship, and global mobility across UK and EU
- Design skills for creating candidate preparation guides and employer branding materials
