Allica Bank is the UK's fastest-growing fintech firm, focused on serving established SMEs—a major underserved segment representing over a third of the UK economy. The company operates across Payments, Financial Crime, Lending, Deposits, and Digital Tools, relying on a complex network of third-party suppliers whose services are embedded in core product offerings.
As Supplier Coordinator Analyst, you will be the operational backbone of Allica's Product team's supplier management function. You'll own the administrative lifecycle of periodic supplier reviews (quarterly, bi-annual, and annual depending on tier classification), ensuring the company stays compliant with its Third-Party Risk Management (TPRM) framework while maintaining strong vendor relationships.
Key responsibilities include:
- Managing the end-to-end administrative cycle of supplier reviews: chasing inputs from suppliers and internal stakeholders, drafting review paperwork, flagging risks for Product Owner sign-off, and tracking closure of outstanding actions
- Tracking licence and contract renewal dates across the Product supplier estate, raising renewals proactively and completing renewal paperwork in coordination with Legal and Procurement
- Handling ad hoc requests (additional licences, user seats) and maintaining accurate, up-to-date supplier records as the source-of-truth for audit purposes
- Identifying repetitive data-collection tasks and building automation or templates to reduce manual effort
- Serving as the primary point of contact for Product team members on supplier management matters
- Supporting new vendor onboarding administration, coordinating legal and compliance approvals while the Product Owner retains budget and contract ownership
- Documenting and maintaining records of data sources shared with vendors (e.g., via Gatekeeper), replacing ad hoc spreadsheet exercises
- Supporting the tracking and management of Data Protection Impact Assessments (DPIAs) linked to supplier data sharing
- Applying controls around requests to extend or add new data sources, ensuring appropriate sign-off before any extension
You will work closely with TPRM, Compliance, Legal, and Procurement teams. This is an individual contributor role for someone who thrives on staying ahead of deadlines and catching issues before they escalate.
Requirements:
- Some exposure to supplier, vendor, or contract administration, ideally within a regulated or financial services environment
- Highly organised with strong attention to detail; comfortable chasing multiple stakeholders and suppliers
- Confident with Excel and internal systems (e.g., Confluence, JIRA); quick to pick up new tools
- Clear, professional written and spoken communication
- Proactive, practical problem-solver who flags issues early
- Comfortable working to a framework and escalating/resolving ambiguous or edge cases
