Carlsmed is seeking a Senior Operations Specialist to support day-to-day activities across Patient-Specific Implant Operations, Facilities, and Image Acquisition. This is a broad, hands-on operations role reporting to the Associate Director of Advanced Manufacturing Technology.
The primary recurring responsibility is executing purchase orders for aprevo® patient-specific implants as part of Carlsmed's patient-specific implant workflow. This includes ensuring accurate and timely PO processing, maintaining complete documentation, tracking POs through workflow stages, identifying and resolving discrepancies, and driving process improvements for accuracy and efficiency.
The role also owns coordination of facility-related activities and general workplace needs. Responsibilities include managing facility maintenance and repairs, scheduling with vendors and contractors, coordinating vendor access, tracking facility projects, managing office and workplace supplies, coordinating workspace moves and equipment installations, and supporting facility improvement initiatives as the company's manufacturing footprint expands.
Additionally, the specialist provides backup operational support to the Image Acquisition team during high workload periods or employee absences. This includes requesting patient imaging from healthcare providers, accessing PACS systems, retrieving imaging studies, uploading files into Carlsmed systems, tracking outstanding requests, and ensuring compliance with patient privacy and security requirements.
The ideal candidate is highly organized and adaptable, with strong attention to detail, ability to manage multiple priorities, comfortable working independently and across departments, proficient with Microsoft Office and learning new software systems, and skilled in written and verbal communication.
