The Senior Plan Documents Specialist is a key member of the delivery team, working cross-functionally with Configuration, Implementation, Client Success, and Product teams to ensure best-in-class document output and client experience. The role involves facilitating client onboarding for document preparation, managing client changes, and handling document management related to employer-sponsored welfare benefit plans under federal and employment laws including ERISA, Internal Revenue Code, HIPAA, Medicare Secondary Payer Act, COBRA, ACA, and Women's Health and Cancer Rights Act. Key responsibilities include verifying eligibility status and plan requirements; drafting, finalizing, and maintaining non-standard or moderately complex benefit plan documents (SBCs, SPDs, SMMs) with minimal assistance; assisting with client and internal inquiries escalated due to compliance or customization issues; managing communications with PDM vendors regarding federal/state mandates and customized requests; supporting client communications including introductory calls; managing a book of business for Mid-Market, Enterprise, or Strategic accounts; assisting junior team members with complex drafting; and supporting training of junior and newly hired senior team members. Required qualifications include 3–5 years of employee benefits paralegal or similar professional experience; 3–5 years in Health and Welfare benefits consulting with ERISA and Non-ERISA plans; 3–5 years in client management related to self-funded plan document creation and management; exposure to plan/policy documents including amendments and SMMs; strong organizational and multi-tasking skills with exceptional attention to detail; ability to manage time effectively and meet deadlines; demonstrated ability to meet performance goals in accuracy and productivity; ability to work independently with minimal supervision; and typing speed of 60–70 WPM. Preferred qualifications include a bachelor's degree or equivalent job experience, paralegal or related degree, experience with Phia Group's PDM online portal or similar document management platforms, experience with DOL Summary of Benefits and Coverage templates and the SBC Coverage Examples Calculator, compliance or insurance-related certifications, claims litigation experience, insurance-related designations, and 1–3 years of prior training experience.
