You will serve as Senior Executive Assistant to the Founder & CEO, owning the full scope of executive support operations. This role requires judgment, trust, and organizational excellence—not just task management.
Key Responsibilities:
- Manage the CEO's calendar end-to-end: prioritize requests, protect focus time, resolve conflicts, and coordinate across internal meetings, customer calls, candidate interviews, partner engagements, and investor relations.
- Triage and manage delegated inbox work: draft responses in the CEO's voice, handle routine correspondence, and surface items requiring direct attention.
- Prepare the CEO for all meetings by gathering context, confirming agendas and attendees, coordinating materials, and clarifying decisions and next steps.
- Maintain systems for tracking commitments, action items, owners, deadlines, and follow-ups to ensure nothing falls through the cracks.
- Coordinate all business travel and expenses: bookings, itineraries, meeting logistics, and last-minute adjustments.
- Coordinate with internal teams and external stakeholders on scheduling, materials readiness, and follow-ups.
- Assist with day-to-day coordination with external contacts and other executive offices, maintaining professionalism, discretion, and prompt communication.
- Own defined operational projects (e.g., improving meeting prep processes, travel workflows, action tracking systems).
- Handle sensitive information with care and sound judgment about what you can resolve independently versus escalate.
This is a full-time, in-office role in NYC requiring five days per week in the office and flexibility to adapt working hours to the CEO's schedule, including travel and changing priorities.
Requirements:
- 5+ years of experience supporting a founder, CEO, or senior executive in a fast-changing organization, or comparable experience demonstrating equivalent judgment and responsibility.
- Strong calendar, travel, and executive-support skills; comfort managing competing requests and changing plans without losing underlying priorities.
- Excellent written and verbal communication; ability to draft concise correspondence, match appropriate tone, and communicate clearly with senior stakeholders.
- High agency: anticipate needs, ask good questions, solve routine problems independently, and close loops without constant direction.
- Discretion and sound judgment; trustworthiness with confidential information and clear sense of when to act, push back, or escalate.
- Reliable organization and attention to detail; ability to build systems that people use and follow through on commitments.
- Must live in NYC with ability to work in office five days per week and adapt working hours to CEO's schedule.
Nice to Have:
- Experience supporting a founder or CEO at a venture-backed company.
- Experience coordinating board meetings, investor conversations, leadership offsites, or complex executive travel.
- Experience using AI and automation for research, organization, or draft preparation, with careful handling of confidential information and human review of outputs.
