Salary: CAD 50,000 - 65,000 / annual

Cyclic Materials is a category leader in rare earth recovery, building a circular supply chain for critical materials essential to AI, automotive, e-mobility, electronics, semiconductors, energy, and defense sectors. The company operates facilities in Ontario and Arizona with expansion underway in South Carolina, backed by major investors including Microsoft, Amazon, and BMW i Ventures. As a Sales Operations Specialist, you will be the operational backbone of the commercial team, coordinating logistics and data management across the rare earth recovery supply chain. Your responsibilities include scheduling and coordinating pickup appointments with customers, suppliers, carriers, and internal operations teams; maintaining accurate data in CRM and ERP systems for customers, suppliers, pricing, shipments, and transactions; monitoring orders and pickups from scheduling through completion with timely follow-up; identifying and communicating discrepancies in weights, pricing, purchase orders, invoices, and shipment documentation; and working cross-functionally with Commercial, Operations, Logistics, and Finance teams to resolve day-to-day issues. You will maintain organized commercial records including contracts, purchase orders, shipping documents, and customer correspondence; provide timely updates to customers and stakeholders on pickup schedules, order status, and delays; support customer and supplier onboarding by collecting documentation and setting up accounts; prepare reports tracking key metrics such as volumes, open orders, pickup status, and transaction accuracy; and assist the Commercial team with administrative tasks, customer follow-ups, meeting coordination, and sales documentation. Additionally, you will help improve workflows, data quality, and communication across commercial operations, and build effective working relationships with customers, suppliers, logistics providers, and partners across the rare earth and permanent magnet supply chain. QUALIFICATIONS: - Diploma or bachelor's degree in business administration, supply chain, logistics, sales, or related field - Two or more years of experience in sales support, customer service, logistics coordination, commercial operations, or administration - Experience working with CRM and ERP systems; proficiency with Microsoft Office (Excel and Outlook) - Strong organizational skills with ability to manage multiple priorities and meet deadlines - High attention to detail and commitment to accurate record-keeping - Excellent written and verbal communication skills - Strong problem-solving skills and ability to identify discrepancies and coordinate resolutions - Ability to work effectively across Commercial, Operations, Logistics, Finance, customers, suppliers, and transportation partners - Sound judgment, professionalism, and discretion with confidential information - Self-motivated, proactive, and comfortable working independently while contributing to collaborative team - Ability to adapt to changing priorities and processes - Asset: Experience in recycling, scrap metals, automotive, manufacturing, mining, or rare earth materials - Asset: Familiarity with purchase orders, invoices, freight documentation, weights, pricing, and material transactions
