Flare is an identity-first cyber threat intelligence company recognized as a Thriving Place to Work by Culture 100 Awards. The company monitors the dark and clear web to uncover exposed identities and other high-risk external threats before cybercriminals can exploit them.
As People & Culture Coordinator, you will be the operational backbone of Flare's P&C function during a period of hyper-growth. This is not a traditional coordinator role focused solely on maintenance—you'll own meaningful work from day one and be deeply involved in shaping how the function evolves as the company scales.
Key responsibilities include:
- Manage and maintain the HRIS system (BambooHR): employee records, workflows, reporting, and data integrity
- Coordinate payroll and benefits administration across Canada, the US, and the UK, working with payroll providers and brokers to ensure accuracy and compliance
- Support recruitment operations: manage roles in BambooHR, own the recruiter LinkedIn seat, manage job postings, and support hiring managers with sourcing
- Prepare and send offer letters and hiring packets to new employees
- Own onboarding operations: prepare new hire paperwork, coordinate first-day logistics, and ensure a smooth employee experience
- Manage the Montreal office: maintain facilities, stock supplies, and coordinate company events including happy hours, virtual events, and the annual offsite (Flamping)
- Serve as a first point of contact for employee questions and support internal communications on P&C frameworks, perks, programs, and policies
- Support HR compliance across jurisdictions, keeping policies, filings, and documentation current
You will thrive in a small team environment where contributions are visible and valued. The role requires someone who anticipates issues rather than waiting for them to surface, fixes processes rather than just symptoms, and knows when to solve problems directly versus escalate them.
REQUIREMENTS:
- 5 years of experience in HR/P&C operations, coordination, or similar administrative role
- Exceptional written and spoken communication skills; ability to write clearly for different audiences and communicate confidently with internal stakeholders from IC to executives, as well as external providers and partners
- High degree of trustworthiness and autonomy; ability to own tasks end-to-end, follow up proactively, manage recurring deadlines, flag issues proactively, and carry problems to resolution
- Exceptional attention to detail and rigor with consistent track record of high-quality output
- Proactive mindset; ability to anticipate issues
- Systems-builder's instinct; when something breaks or repeats, you fix the process, not just the symptom
- Strong working experience with HRIS systems (BambooHR experience is an asset), payroll processes, and benefits administration
- Experience with onboarding coordination and general office management
- Sound judgment on when to solve issues directly and when to escalate
- Ability to thrive in small team environment
- Fanatically ethical and trustworthy with confidential information; high standard of accuracy and integrity
- Montreal-based and proficient in both French and English to collaborate with internal and external partners
IDEAL QUALIFICATIONS:
- Experience at a hypergrowth SaaS or tech company
- Experience with payroll or benefits administration in multiple jurisdictions (Canada, US, UK)
- Exposure to recruiting or sourcing, including managing job postings and candidate pipelines on LinkedIn
- Experience managing HR compliance aspects
- Experience in event planning and/or office management
- High level of comfort with using technology and automation to streamline administrative work
