Homebase is building a dedicated Payroll Tax function within its Payroll Care Team to handle the most technically complex and trust-critical aspects of its payroll product for small businesses. As the first Payroll Tax Specialist, you will serve as Homebase's resident payroll tax authority, transforming an overwhelming queue of tax notices into a structured, resolved, and documented operation.
Your primary responsibilities include owning tax notice resolution by triaging, investigating, and delivering clear responses to customers. You will cross-reference each notice against customer tax profiles, payroll history, and filing records to identify root causes before escalating. You'll coordinate with internal payroll operations partners to drive resolution and follow through until issues are closed. You'll track open notices in the ticketing system, maintain resolution timelines, and identify patterns pointing to systemic issues worth escalating to Product and Engineering.
Beyond reactive support, you'll provide proactive quarterly and year-end support by preparing customers for their first filing quarter, conducting account hygiene reviews to verify TPA/POA placement across active filing states, and monitoring for year-end risk factors such as owner/shareholder changes or compensation adjustments. You'll serve as an internal SME for customers expanding into new jurisdictions, providing agency-sourced guidance on registration requirements, deadlines, and filing frequencies.
You'll also review accounts for early warning signs—blocked accounts, outdated rates, unresolved filing failures—and surface risk to the right owners before customers feel the impact. Throughout, you'll build scalable documentation, playbooks, and operational standards as the function grows. The role emphasizes leveraging AI to accelerate investigations, improve documentation quality, draft customer communications, and build repeatable, AI-enabled workflows that reduce resolution time and scale the function.
Success requires 3–5 years of payroll tax experience in a multi-state environment, ideally at a payroll provider or payroll SaaS company. You need deep working knowledge of federal, state, and local payroll taxes, hands-on experience managing and resolving tax notices from agencies, and familiarity with TPA/POA processes. Strong written and verbal communication skills are essential, as you'll translate complex compliance situations for small business owners. You should be organized, methodical, and comfortable carrying a queue of open issues across multiple accounts and agencies. CPP or FPC certification is preferred, and SQL or scripting experience is a plus.
