As Payroll Manager, you will own end-to-end payroll operations for 1,000+ W-2 employees across multiple states. This is a high-ownership role on the Finance & Operations team with direct visibility into how a fast-scaling healthcare company runs.
Key responsibilities include:
**Payroll Operations & Compliance:** Run scheduled and off-cycle payroll in Rippling, validate timekeeping and compensation changes, perform pre- and post-payroll reviews and variance analysis, reconcile payroll to bank/tax/benefits/retirement-plan records, manage federal/state/local payroll-tax accounts as the company enters new states, oversee tax filings and payments, and lead quarter-end and year-end activities (Forms 941, 940, W-2/W-3, 1099s).
**Reconciliations & Audits:** Lead recurring insurance reconciliations matching carrier invoices against enrollments, own 401(k) reconciliations and support annual testing and Form 5500 preparation, and coordinate annual workers' compensation premium audits.
**Systems, AI & Automation:** Serve as Finni's Rippling system owner managing configurations, permissions, reporting, and internal controls. Build the payroll knowledge base as a single source of truth. Design and deploy agentic AI workflows to answer routine payroll questions automatically and route sensitive cases for human review. Automate recurring work like agency notice triage, reconciliations, and audit prep so payroll scales without scaling headcount.
You bring 4+ years of hands-on U.S. payroll experience, including 2+ years independently owning full-cycle, multi-state payroll for 500+ W-2 employees (1,000+ strongly preferred). You have deep command of federal, state, and local payroll tax, experience with quarter-end and year-end processing, payroll accounting, and internal controls. You're proficient with Rippling or similar modern payroll/HRIS platforms, advanced Excel/Google Sheets, and have demonstrated use of AI or automation tools that shipped. You're based in the US or Canada, able to work core US business hours and meet firm payroll deadlines.
You're relentless about accuracy, prefer building systems over running errands, close loops on open issues, and operate effectively without a playbook in a fast-growing environment.
