Mindstone is an AI adoption company that builds insights from client work into training, community, and Rebel—an AI-powered agentic OS. Customers include Pearson, Home Depot, Hyatt, and Delta Airlines. The company's mission is democratizing AI benefits beyond technologists.
You'll be the operational backbone of the organization, turning intentions into executed reality. Working directly with the CEO and closely with the COO, you'll own projects from conception through completion, with exposure to strategic decisions and business trade-offs.
Key responsibilities:
- Own projects end-to-end: define requirements, identify stakeholders, anticipate risks, and drive completion
- Manage office logistics, suppliers, and travel coordination
- Organize company gatherings (Swarm Week, AI Breakthrough Weekends) including venues, schedules, travel, and materials
- Support community events and activities, coordinating participants and logistics
- Build better ways of working using Rebel daily to organize work, automate tasks, and maintain clear records
- Handle some diary coordination and meeting preparation for executives
- Spot recurring friction points and fix underlying processes rather than repeatedly rescuing them
You'll develop practical experience at the AI frontier with a generous AI budget and daily use of Rebel. There's a clear growth path toward Chief of Staff roles as you take on increasingly complex projects.
Success means stakeholders know what's happening, commitments don't slip, and recurring problems require less attention over time.
Requirements:
- Initiative with judgment: take sensible first steps, discern what matters, know when to decide independently vs. escalate
- Conscientious follow-through: notice details, keep promises, communicate clearly, flag problems early, handle sensitive information carefully
- Readiness to change how you work: willingness to experiment, question assumptions, and rethink approaches as AI evolves weekly
- Active use of AI tools with critical verification of outputs and ownership of results
- Must be able to join three core London office days per week
- Useful (not required): experience organizing events or travel, supporting busy executives, running communities, improving processes, or using AI tools
- No specific degree or years of experience required; evidence can come from employment, study, volunteering, caring responsibilities, or personal projects
- Exceptional willingness to learn, evolve, and adapt to rapid change
