Cohere, a leading security-first enterprise AI company, is seeking an Office Manager & Security Coordinator for its Ottawa office. This hybrid role combines day-to-day office operations with security protocol implementation, serving as the primary point of contact for both functions.
You will oversee front-facing operations including direct management of cleaners, food & beverage programs, suppliers, and maintenance vendors. Responsibilities include coordinating room setups, managing external visitor logistics, ensuring office cleanliness, leading internal communication channels (Slack), and handling shipping/logistics including laptop distribution for new hires.
A critical component of this role is security compliance and protocol implementation. You will ensure compliance with Canadian industrial security standards, particularly PSPC and Contract Security Program (CSP) requirements for government contracts. This includes overseeing security screening for employees, contractors, and visitors; enforcing access controls and secure storage protocols; maintaining security records including clearance coordination and training logs; and reporting security incidents to relevant authorities as required. You will provide backup support to the Company Security Officer.
Additional responsibilities span office management and inventory (maintaining supply levels, conducting office tours, managing mail/packages), and events/culture initiatives (organizing monthly social events, managing guest experiences, coordinating off-sites with security considerations).
