OpenAI's Benefits team is seeking a Global Leaves and Accommodations Analyst to support the day-to-day administration of leave of absence and workplace accommodations programs. This is a hands-on, employee-facing role focused on careful execution and helping employees navigate important moments with clear guidance.
You will coordinate assigned cases from intake through closure, managing U.S. and international requests including medical, parental, and statutory leaves. Key responsibilities include:
- Coordinate leave cases through their full lifecycle: intake, documentation follow-up, case tracking, return-to-work coordination, and closure for diverse leave types across multiple jurisdictions.
- Provide clear, empathetic employee communication about required information, timelines, and next steps. Answer routine questions using approved guidance and escalate complex matters appropriately.
- Support workplace accommodations processes by organizing required information, coordinating follow-ups, and documenting approved next steps for ergonomic, disability-related, and religious accommodations. Handle medical documentation through approved confidential channels only.
- Maintain accurate case records in HRIS and case-tracking systems, complete routine data checks, investigate discrepancies, and support audits.
- Prepare reliable payroll handoffs by verifying approved case and pay information, flagging discrepancies and cutoff risks, and confirming corrections are completed.
- Coordinate across partners including third-party administrators, vendors, HR Business Partners, Payroll, and HR Systems. Track outstanding actions and keep case owners informed of blockers.
- Manage deadlines and prioritize routine work against established timelines, raising competing priorities or urgent needs to your manager early.
- Identify recurring issues and suggest practical improvements to checklists, templates, and documentation to reduce errors and improve the employee experience.
You will report to the Senior Manager, Global Leave & Accommodation and partner closely with HR Business Partners, Payroll, HR Systems, and external providers.
REQUIREMENTS:
- Hands-on experience supporting leave of absence, workplace accommodations, or related HR operations, including case administration, employee inquiries, or confidential records management.
- Working familiarity with U.S. leave and accommodations concepts such as FMLA, ADA, and applicable state or local requirements, with ability to know when to consult guidance or ask for help.
- Detail-oriented, employee-facing work style with enjoyment of keeping cases organized, following through on commitments, and helping people understand next steps.
- Ability to manage multiple cases, dates, documents, and follow-ups while maintaining accurate records and raising deadline risks early.
- Practical experience with an HRIS or case-management system and spreadsheet proficiency. Workday experience is helpful.
- Clear and empathetic communication with employees, managers, and cross-functional partners.
- Sound judgment with confidential information and high standards of accuracy, accountability, and service.
- Willingness to learn from feedback and contribute practical improvements. Experience with multi-state or international employee populations is helpful but not required.
