Celonis is seeking an Executive Assistant to support the Global SVP of Value Engineering at their Madrid office. This is a high-impact operational role supporting one of the company's most senior leaders with a global remit. Key responsibilities include comprehensive calendar and expense management, coordinating complex domestic and international travel (2–3 trips annually to locations including New York, India, and Munich), and serving as the primary point of contact for all SVP-related matters. You will manage leadership meetings for the Value Engineering organization, handle correspondence prioritization and drafting, coordinate meeting logistics including materials preparation and attendee management, and assist with document and presentation creation for internal and external audiences. Beyond administrative support, the role involves strategic project coordination across multiple business teams, identifying and implementing operational improvements, and managing remote stakeholder relationships at all levels. You will be a true business partner, contributing to the SVP's effectiveness and the organization's success. Required qualifications include at least 5 years of Executive Assistant experience, with proven track record supporting C-Suite or SVP-level executives in global organizations. You must have professional fluency in English (written and oral), with German as a plus. Essential skills include advanced proficiency in Google Suite and Microsoft Office, strong organizational and project management capabilities, exceptional attention to detail, and the ability to work with discretion and maturity in a fast-paced, entrepreneurial environment. Experience with AI tools (Claude, etc.) is valued. You should be comfortable providing structure within dynamic settings, demonstrate strong interpersonal and communication skills, and have flexibility for occasional off-hours support in an international context.
