Figma is seeking an experienced Executive Assistant to support two Senior Directors overseeing Sales operations in LATAM and DACH regions. This full-time, in-office role based in São Paulo is central to managing the administrative and operational needs of these regional businesses while contributing to strategic initiatives that drive company priorities. You will manage calendars, meetings, expenses, and business travel for senior leadership. Key responsibilities include preparing briefing materials and confidential reports ahead of key meetings and events, coordinating senior management meetings with agendas and follow-up actions, and leading the planning and execution of monthly and quarterly leadership meetings and in-person offsites. You'll create executive materials using Figma's design tools and act as a key liaison between the Sr. Directors, their leadership teams, and broader LATAM + DACH teams. You'll also collaborate with the Sales EA team and broader EA organization on logistics for internal events, team offsites, and external events, while identifying opportunities to evolve processes for efficiency and global alignment. This role requires fluency in both Portuguese and English, with strong communication skills across diverse stakeholders. You'll thrive in a fast-paced environment, adapt quickly to changing priorities, and handle sensitive information with discretion. A positive, reliable approach and ability to foster an inclusive environment are essential. REQUIREMENTS: - 4+ years of experience in an administrative or support role - Fluent in both Portuguese and English with strong communication skills - Ability to thrive in fast-paced environments and adapt to changing priorities - Expert at prioritizing, anticipating needs, and handling sensitive information with discretion - Positive, reliable approach and ability to foster an inclusive environment PLUS (not required): - Previous experience supporting customer-facing teams and/or sales - Experience supporting senior leadership at fast-paced SaaS companies
