Mirendil is a tech-first frontier AI research company focused on democratizing AI R&D across scientific disciplines and training proprietary models end-to-end.
You will serve as the operating system for the CEO and the person who runs the physical operations of the company. This is a dual-mandate role combining executive support with full operational leadership.
Key Responsibilities:
CEO Leverage & Calendar Management: Own the CEO's calendars, travel, expenses, and inbox triage. Prepare them for upcoming commitments, capture decisions, and convert strategic intentions into executed actions. Keep their days focused on highest-value work and ensure nothing slips through the cracks.
Office Operations: Run facilities, vendor relationships, purchasing, bill pay, supplies, catering, seating, security, mail and shipping, and the physical workspace itself. Proactively identify and resolve issues before they impact the team.
Team Logistics & Nutrition: Manage catering, snacks, coffee, and daily rituals that sustain a high-intensity, in-person team. Recognize that meals and workspace rhythm are load-bearing for productivity.
Special Events & Experience: Own team dinners, offsites, onboardings, and the visitor experience for candidates, partners, and investors. Ensure everyone who enters the office feels genuinely cared for.
Unowned Priorities: Identify and jump on the most critical unowned work each week—whether that's a last-minute event, a move, a buildout, or an operational crisis.
Ad-Hoc Support: Contribute to billing, people operations, and other areas as needed, with room to grow into broader operational scope.
Note: This role requires in-person presence 6 days per week.
Requirements:
- Proven experience as a trusted right hand to an executive, founder, or small leadership team, handling important work independently
- Exceptional follow-through: ability to organize multiple moving pieces, hold vendors accountable, and stay on top of all details
- Strong judgment and discretion: work effectively with incomplete information, distinguish priorities, and know when to act versus escalate
- Comfort with both high-level strategic support and hands-on operational work (e.g., vendor negotiation and team logistics)
- Genuine enjoyment of making others more effective and comfortable
- Exceptional EAs and candidates with broader operational backgrounds are welcome
