You will serve as Executive Assistant to the founders, providing high-level support and overseeing day-to-day operations of the San Francisco office. This is a newly created position with significant ownership and growth potential as the company scales.
Key responsibilities include:
- Executive Support: Manage founders' calendars with scheduling, prioritization, and conflict resolution. Prepare leadership for meetings with necessary context and materials.
- Candidate Experience: Serve as primary point of contact for interview coordination, scheduling, and on-site candidate welcome.
- Event & Conference Logistics: Coordinate travel, registration, and logistics for industry conferences. Plan and host customer, investor, and team events.
- Offsites & Onsites: Plan and execute team offsites and onsites, managing venues, travel, agendas, budgets, and vendor coordination.
- Office Operations: Oversee day-to-day office management including conference room scheduling, vendor relationships, and office amenities.
- Special Projects: Support ad hoc initiatives across the company as priorities evolve.
This is a hands-on, high-visibility role combining executive support with office operations. You will be a trusted partner to leadership and the first point of contact for candidates and guests.
Requirements:
- 5+ years of experience as an executive assistant or in a similar administrative or operations role, ideally at a fast-growing startup
- Expertise managing complex, constantly shifting calendars for leadership
- Exceptional organization and attention to detail with a track record of managing multiple priorities and deadlines
- Excellent written and verbal communication with a polished, professional presence with candidates, partners, and guests
- Sound judgment and discretion in handling confidential information
- Proactive and resourceful with the ability to anticipate needs and solve problems independently
- Ownership mindset and comfort with ambiguity in a fast-paced startup environment
Nice to have:
