Neara is building advanced machine learning-powered digital twins of electricity grids across four continents to help utilities stress-test infrastructure, pinpoint risks, and optimize investments for grid resilience. The company uses physics-enabled AI to simulate extreme weather and structural stress at network-wide scale. As Neara scales globally, we are hiring an Executive Assistant for our London office to serve as the operational backbone for the London/Europe team. This is a hybrid, hands-on role covering a broad range of responsibilities: day-to-day administration, finance and customer invoicing support, team travel and activities, local HR requirements, onboarding, and support for commercial and marketing document work. You will act as a trusted right hand to regional leadership, managing executive calendars and correspondence, processing expenses and invoice tracking, owning the customer invoicing process for the region (raising invoices, tracking payments, chasing outstanding amounts, resolving billing queries), organizing team travel and offsites, managing local HR administration including contracts and UK/EU employment compliance, coordinating onboarding for new hires, and supporting the commercial team with tender submissions and marketing with collateral and event logistics. This role requires someone who thrives on variety and detail, can move seamlessly between executive support and finance/HR tasks, and serves as the connective tissue keeping the London/Europe team organized, compliant, and moving fast. You will have direct exposure to regional leadership, finance, HR, and commercial teams, putting you at the heart of European operations. The role offers the freedom to shape processes from the ground up and directly enable the team's global expansion. REQUIREMENTS: - Experience in an Executive Assistant, Chief of Staff, Office Manager, or similar operations role, ideally in a fast-growing scale-up - Comfortable working across finance, HR, and admin tasks with strong attention to detail - Experience with invoicing/billing processes and basic bookkeeping (Xero preferred) - Familiarity with UK/EU employment and HR requirements, or willingness to quickly get up to speed - Strong written communication skills; comfortable producing polished documents, proposals, and submissions - Highly organized, proactive, and able to juggle competing priorities - Discreet and trustworthy when handling sensitive information - Comfortable in a fast-paced, ambiguous, international environment where processes are still being built
