WeTravel is seeking an Events Operations Lead to serve as the operational backbone of their field events strategy. This is a hands-on, coordination-heavy role based in Mexico, reporting to the Marketing Manager.
You will own end-to-end event execution and logistics for approximately 55 annual events. Key responsibilities include:
- Managing the yearly event calendar (~55 events), adjusting priorities as opportunities shift quarterly
- Handling full event logistics: vendor liaison, booth build, collateral, registration, exhibitor profiles, passes, VAT, procurement, shipping, and swag
- Owning administrative backbone: event agreements, contracts, invoicing, and expense reconciliation in Ramp
- Serving as primary coordination hub between sales, AEs, finance, design, and event organizers; setting up dedicated Slack channels and managing approval chains
- Partnering with data/ops team on pre-event lead list submission and post-event lead routing
- Collecting and tracking qualitative event feedback (post-event surveys, sales input on lead quality) to inform ROI analysis
- Coordinating with Content & Social Lead and creative/design team on booth and print materials
- Co-owning and continuously building the event playbook (SOP) to reduce dependency on tribal knowledge
You'll work in a fast-moving environment where the calendar shifts quarterly and you're expected to bring structure and calm to complex logistics. This is an execution-focused role, not a strategy seat; strategic direction is set by leadership.

REQUIREMENTS:
- Hands-on B2B field-event experience: running booths, managing vendor relationships, executing logistics under deadline pressure
- Excellent communication skills and genuine enjoyment of coordination; comfortable being the hub between sales, ops, and content
- Natural organizational ability; you build systems and calendars proactively rather than just reacting
- Comfort owning administrative work (contracts, invoicing, expense reconciliation) as core to the role, not a task to delegate
- Ability to work sales approval chains and coordinate onsite teams with minimal guidance
- Commitment to building repeatable systems and documenting processes to reduce reliance on individual knowledge
- Willingness to travel for work-related events 1-2 times per year
- Full legal right to work in Mexico (citizenship or residency required; no visa sponsorship available)
BONUS QUALIFICATIONS:
- Experience in travel industry, marketplace businesses, or community-led growth models
- Familiarity with HubSpot and event ROI tracking
- Experience building or scaling event playbooks/SOPs from scratch
- Fluency with AI tools to automate event workflow components
