Flare is a cybersecurity intelligence company focused on identity-centric threat detection. Recognized as a Thriving Place to Work by Culture 100 Awards, Flare monitors the web and dark web to discover exposed identities and high-risk external threats before cybercriminals can exploit them. As People & Culture Coordinator, you will be the operational backbone of Flare's P&C function during a period of hypergrowth. This is not a lights-on administrative role—you'll be deeply involved in shaping how the function evolves as the company scales. You'll own the operational layer across multiple sites and domains, with real daily impact on employee experience. Key Responsibilities: - Manage and maintain BambooHR (HRIS): employee records, workflows, reporting, and data integrity - Coordinate payroll and benefits administration across Canada, US, and UK, working closely with external payroll providers to ensure accuracy and compliance - Support recruitment operations: post and manage positions in BambooHR, manage LinkedIn recruiter seat and job postings, prepare offer letters and onboarding packages - Drive onboarding operations: prepare new hire documentation, coordinate first-day logistics, ensure smooth employee experience - Manage Montreal office (facilities, supplies) and coordinate internal events including social gatherings, virtual events, and the annual Flamping offsite - Serve as first point of contact for employee P&C questions and support internal communications on policies, benefits, and programs - Support HR compliance across jurisdictions: maintain policies, filings, and documentation You'll thrive in this role if you anticipate problems rather than react to them, think in systems (rethinking processes, not just symptoms), and have strong judgment about when to resolve issues directly versus escalate. You'll work autonomously on important files from day one and contribute to building a high-caliber P&C function in a hypergrowth startup. Requirements: - 5 years of HR/P&C operations, coordination, or similar administrative experience - Exceptional written and oral communication skills; ability to write clearly for different audiences and communicate confidently with stakeholders from individual contributors to leadership, plus external vendors and partners - High reliability and autonomy: own tasks end-to-end, follow up without prompting, manage recurring deadlines, proactively flag issues, drive problems to resolution - Exceptional attention to detail and rigor; consistent track record of high-quality work - Proactive mindset; anticipate problems before they arise - System-builder instinct: when something breaks or an issue repeats, rethink the process, not just the symptom - Solid experience with HRIS platforms (BambooHR experience is a plus), payroll processes, and benefits administration - Experience with onboarding coordination and general office management - Good judgment on when to handle issues directly versus escalate - Enjoy working in small teams where individual contributions are visible and valued - Impeccable ethics, ability to handle confidential information with discretion, high standards of accuracy and integrity - Reside in Montreal region; fluent in French and English to collaborate with internal and external partners Ideal to have: - Experience in a hypergrowth SaaS or tech company - Experience managing payroll or benefits across multiple jurisdictions (Canada, US, UK) - Exposure to recruitment or sourcing, including job posting and candidate pool management on LinkedIn - HR compliance management experience - Event planning and/or office management experience - Strong comfort with technology and automation to streamline administrative work
