Kaizen Labs is a government technology company founded in 2022 that replaces legacy federal systems with modern software. The company has raised $35M from NEA, a16z, Accel, and others, and is headquartered in New York City and DC. This is the first contracts hire at Kaizen, reporting to the Head of Business Operations & Corporate Affairs.
You will build and own the contracts function for a company managing work across civilian agencies and DoD, including FAR-based awards, subcontracts, IDIQ vehicles, BPAs, and DoW agreements. The role owns compliance across training deadlines, labor postings, OCI requirements, VETS filings, and other federal obligations.
Key responsibilities include:
- Building and maintaining the obligation register across all federal agreements, tracking modifications and change orders
- Running the compliance calendar: training certificates, required notices, postings, and annual filings (e.g., VETS-4212A)
- Making applicability calls on thresholds, commercial-item carve-outs, and regulatory scope
- Administering federal portals (SAM, PIEE, WAWF)
- Reviewing flowdowns on new subcontracts and agreements before signature
- Onboarding subcontractors with program context, systems access, and security requirements
- Serving as primary interface with government Contracting Officers and Administrative Officers
- Supporting Business Development and capture teams with contract strategy and pricing input
- Managing clause interpretation with outside counsel
- Managing subcontractors against committed scope, timelines, and deliverables
Turnaround is measured in hours, not days. You will work daily with IT, security, the FSO, and deployment teams. The role requires ownership and the ability to self-direct on a small team with no department behind you.
REQUIREMENTS:
- 5+ years of federal contracts or subcontracts administration on the contractor side with direct follow-through responsibility
- FAR and DFARS fluency, including flowdown matrices and applicability thresholds
- Demonstrated experience building a compliance register or calendar (not just working from one)
- DoD contract experience, including FAR-based awards or other transaction agreements
- GSA Schedule administration: catalog maintenance, pricing justifications, BPA setup and updates, SIN and SKU modifications, option year reporting, and price reduction clause compliance
- Direct submissions into federal systems (SAM, PIEE, or WAWF)
- Experience managing subcontractors or teaming partners against committed scope, milestones, and deliverables, including escalation
- Negotiation experience on federal contracts (not just post-award administration)
- Familiarity with data rights and IP provisions in federal software contracts
- Eligibility to work with CUI
STRONG CANDIDATES MAY ALSO HAVE:
- Experience with subcontracts and flowdown obligations
- Relationships with major defense prime subcontractors
- Experience managing subcontractors delivering software, data, or AI capabilities
- NCMA certification
- Active or recently lapsed security clearance
