Aspen Neuroscience is seeking a Contracts Coordinator to support the contracts and procurement operations of the organization. This role is responsible for maintaining the department's contracts database of executed agreements, assisting with preparation and processing of template documents such as non-disclosure agreements and contract amendments, and progressively taking on more complex template agreements including consulting agreements with vendor negotiation as skills develop.
Key responsibilities include:
- Maintain and organize the executed contracts database
- Prepare and process standard template documents (NDAs, amendments, extensions)
- Progress toward managing more complex agreements such as consulting contracts, including vendor negotiations
- Submit finalized agreements into the contracts management system to trigger legal review and approval workflows
- Process purchase order requisitions to ensure approvals are completed and PO setup is finalized
- Track contract terms, PO funding, scope, and required changes for the team
- Document and capture workflow processes in writing (e.g., procedures for checking PO balances)
- Support team with administrative and project work as assigned
The ideal candidate will be detail-oriented, responsive to deadlines, and able to exercise good judgment when analyzing complex problems and making recommendations. You should be comfortable working both independently and collaboratively within a matrix team structure.
REQUIREMENTS:
- BA/BS in finance, accounting, legal, health sciences, or related field (or equivalent relevant experience)
- Expert proficiency in Microsoft Outlook and Excel
- Proficiency with standard office software (Word, PowerPoint)
- 1+ year of relevant technical experience working with contracts (strongly preferred)
- 1+ year of relevant experience in the pharmaceutical industry or CROs (desired)
- Familiarity with LiveLink, SharePoint (Office 365), Ariba, Oracle, and Concur (desired)
- Strong written and oral communication skills
- Strong interpersonal skills
- Ability to prioritize competing tasks and work reliably both independently and in teams
