Ripple is seeking a Workplace Operations Specialist to manage daily office operations, employee experience, and facilities at their Sydney location. This role serves as the primary point of contact for employees and visitors, overseeing front desk and guest services, office management, vendor relations, and facility maintenance.
Key responsibilities include:
**Office Management:** Act as the first point of contact for employees and visitors, managing check-ins, events, and contractors. Oversee day-to-day operations including food programs, deliveries, mailroom, supply ordering, and decor. Develop and maintain office procedures while ensuring a welcoming, safe, and professional environment as the site scales.
**Employee Experience & Events:** Promote a culture of inclusion and collaboration by planning and executing employee events, lunches, and surprise-and-delight moments. Partner with the People team on onboarding logistics to ensure new hires have a seamless first-day experience, including desk setup, office tours, and resource introductions. Coordinate logistics for onsite meetings and events.
**Facilities & Vendor Management:** Conduct morning walkthroughs to identify and escalate issues. Manage relationships with external vendors including building management, food and beverage partners, janitorial services, and maintenance contractors. Coordinate facility maintenance and repairs (carpet cleaning, paint touch-ups, furniture repair, plumbing, electrical, lighting, AV diagnosis). Assist with floor plan updates, employee moves, and space assignments.
**Collaboration & Support:** Work with Global Workplace, Security, IT/AV, and Communications teams to ensure seamless operations. Act as a point of escalation for workplace feedback and issues. Maintain flexibility to attend meetings and calls across multiple time zones (US, EMEA, APAC) with availability for additional hours when needed.
The ideal candidate will be a resourceful problem-solver who thinks on their feet, works independently, and collaborates effectively with internal teams and external partners. You'll report to a remote manager based in EMEA and must be comfortable working as a lone worker without on-site supervision.
**Requirements:**
- Bachelor's Degree or equivalent experience
- 2–4 years of facilities or workplace operations experience
- Excellent customer service and interpersonal skills; ability to interact with all levels of personnel, external customers, and vendors
- Strong attention to detail and excellent organizational and time management skills
- Exceptional written and verbal communication skills, particularly for asynchronous remote workflows
- Ability to work independently with minimal daily supervision, taking direction from a remote manager
- Comfort operating in a distributed team environment across time zones
- In-depth understanding of local health and safety laws, environmental regulations, and industry compliance standards
- Comfortable working with and around C-suite level executives
- Proactive ability to anticipate and meet employee and guest needs
- Proficiency with Google Workspace (Docs, Sheets, Drive), Slack, and Jira
- Ability to process invoices for department manager approval
- Ability to lift 30–40 lbs (13.6–18.1 kg)
- Ability to work safely and productively as a lone worker without on-site supervision
