Doctolib is seeking a Senior Workplace Experience Partner to support the Workplace Experience team in Berlin. In this role, you will manage a large and rapidly growing portfolio of office buildings, including Doctolib's headquarters in Berlin and additional locations across Germany. You will ensure that Doctolib offices are places where all employees feel comfortable and can work efficiently.
Key Responsibilities:
- Oversee smooth operations and maintenance of the main Berlin headquarters and support 9 regional locations across Germany
- Manage external service providers and ensure compliance with all legal requirements
- Develop and maintain strategic vendor relationships for critical services including reception services, office amenities, fleet management, and travel management; monitor KPIs and SLAs
- Own fleet management vendor oversight, including performance monitoring and escalation management
- Manage assigned budgets, purchase orders, and invoice processing in close collaboration with the Finance team
- Drive Health, Safety, and Environment (HSE) standards compliance and implement QHSE processes
- Work closely with IT, Real Estate, Finance, and regional stakeholders; manage stakeholder communication across Germany and occasionally the Netherlands
- Develop pragmatic solutions for strategic and operational challenges; continuously optimize the work environment through data-driven approaches
Requirements:
- Minimum 4-5 years of experience in comparable roles in Workplace Management, Facility Management, or Office Operations
- Proven experience managing office locations across multiple sites and project management
- Basic to advanced experience in HSE (Health, Safety, Environment)
- Experience in Vendor Management and Contract Management, preferably including fleet management
- Solution-oriented, detail-focused, and able to respond quickly to changing priorities
- Excellent communication skills in German and English; ability to articulate a compelling vision both verbally and in writing
- Preferred: Strong analytical skills and keen sense for budget and cost management
